Job Duties
The Virginia Information Technologies Agency (VITA) is excited to offer a competitive opportunity to serve as a Project Office Coordinator with the Supplier Projects and Governance Team.
The Project Office Coordinator will support the operational and reporting functions of the Strategic Program Governance (SPG) Project Office and provide targeted project coordination when needed. This position plays a pivotal role in maintaining project governance standards, enabling cross-vendor collaboration, and supporting IT portfolio management tools.
Key Responsibilities:
SPG Operations & Governance.
Facilitate the Portfolio Project Status Reporting Program, consolidating updates across active projects.
Support PMO maturity development initiatives and continuous improvement efforts.
Manage risks & issues tracking at the portfolio and project levels.
Tools & Systems Management:
Maintain and enhance the SPG Teams and SharePoint sites.
Build and update reports and dashboards to support decision-making.
Support the use of project tools in alignment with VITA’s PMD standards.
Project Coordination Support:
Provide backup coordination support for specific projects when required.
Assist with scheduling, status tracking, change requests, and vendor communications.
Support budget tracking, purchase order processing, and basic financial reporting.
Reporting & Communication:
Prepare audience-specific reports for executives, technical teams, and stakeholder groups.
Summarize complex project data or technical information into clear, actionable updates.
Facilitate cross-vendor and cross-department collaboration.

Minimum Qualifications
• Administrative support experience in a business or IT environment.
• Results-oriented with a strong work ethic and ability to manage multiple priorities.
• Ability to work with diverse stakeholders, facilitating collaboration and consensus.
• Exceptional organizational, interpersonal, and communication skills.
• Skilled in oral and written communication, including interpreting and conveying technical information.
• Experience with Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, Teams).
Additional Considerations
• Experience with project scheduling tools (MS Project, Smartsheet, or equivalent).
• Familiarity with Agile, Waterfall, and Hybrid project delivery models.
• Understanding of change management practices.
• Risk and issue tracking experience.
• Budget and financial tracking support experience.
• Data analysis and performance reporting skills (including Power BI).
• SharePoint site maintenance and content management experience.
