This role operates across Medi2data’s three core divisions—Primary Care Services, Client Services, and Medi2cert - delivering innovative, technology-driven solutions to GP practices, enterprise clients, and consumers. Our Primary Care Services division supports GP practices in streamlining medical reporting through eMR, our SaaS platform, and eMR+, our fully managed outsourced service - ensuring accuracy, security, and efficiency in producing electronic GDPR compliant medical reports. Client Services works with enterprise clients to facilitate the fast, compliant, and secure delivery of medical evidence, leveraging AI-driven automation, digital workflows, and clinical expertise to enhance decision-making and operational efficiency. Medi2cert (D2C) provides consumers with seamless access to premium medical certification services, allowing them to obtain the documentation they need quickly and securely.

The Role
Reports To: Chief Commercial Officer
Location & Term: London Victoria, Full-time (Monday – Friday) Permanent, Hybrid.
Job Overview:
We are seeking a highly organised, resourceful, and proactive Executive Assistant to support our Chief Executive Officer (CEO) and Chief Commercial Officer (CCO). This is a key role that provides both strategic and day-to-day support, helping our executive leaders stay focused, efficient, and effective in driving the business forward.
Key Responsibilities:
Executive & Administrative Support
* Manage the CEO and CCO’s full schedules, using sound judgment to evaluate priorities and exercise discretion in allocating time
* Draft, review, prioritise, and send internal and external communications on behalf of the CEO and CCO
* Organise and prepare for meetings: gather documents, arrange rooms and refreshments, take minutes, and track follow-up actions
* Prepare high-quality corporate documents, board packs, presentations, and reports for a range of audiences
* Submit and reconcile expense claims in a timely and accurate manner
* Coordinate all travel logistics, including domestic and international travel, visas, accommodations, and itinerary.
Project & Stakeholder Coordination
* Support and monitor key projects and programmes, ensuring timelines, responsibilities, and deliverables are clearly tracked and communicated
* Maintain recurring and ad hoc reports, dashboards, and documentation to support executive-level decisions
* Work closely with leadership and cross-functional teams to gather data and respond to requests on behalf of the CEO and CCO
* Partner with Finance, Legal, and Operations to manage signatory requests and approval workflows, assessing urgency and risk
Strategic Prioritisation & Communication
* Act as a trusted gatekeeper: determine priority of incoming matters and redirect or escalate as appropriate
* Proactively brief the CEO and CCO on time-sensitive or priority issues, ensuring consistent and timely follow-up
* Maintain absolute confidentiality and professionalism when handling sensitive information
* Support stakeholder engagement by coordinating with external visitors, clients, and partners, and ensuring a polished and welcoming experience
What We’re Looking For:
* Experience supporting C-suite executives in a fast-paced environment
* Outstanding organisational skills and the ability to multitask across competing priorities
* Strong written and verbal communication, with a high level of polish and attention to detail
* Highly proficient in Microsoft Office and Google Workspace; experience with communication and collaboration tools like Slack, Zoom, or Asana is a plus
* Discretion, integrity, and emotional intelligence are essential
* Ability to work independently, make sound decisions, and act with initiative
* Experience working with commercial functions or supporting sales, partnerships, or investor relations
* Exposure to board-level governance and documentation
* Project coordination or programme management experience
