About the role
The main purpose of the role of Business Support Assistant is to provide support as the first point of contact within the organisation, to help us make a positive impact through learning and development, and professional support. The role encompasses various responsibilities, including general organisational support, customer communication, dealing with our trainers and course set up.
Tasks and responsibilities
The main tasks of the job include:
* Providing a first point of contact for our customers by answering phones and managing email inboxes.
* Overseeing the smooth operation of our office space, ordering supplies and equipment as required.
* Organising and scheduling training sessions, meetings and events.
* Overseeing customer bookings for training and events
* Maintaining accurate records related to training, qualifications, participants, and resources.
* Preparing delegate packs and resources
* Preparing for and hosting in person training at Share offices
* Liaise with and provide relevant reports for all accrediting bodies in line with Frameworks, contract rules, timescales and other requirements including external audit.
* Carry out any other tasks that may be reasonably required.
The main responsibilities of the job include:
* Ensure the smooth operation of day-to-day training and customer contact within the organisation.
* Maintain good communication with customers, trainers, and internal teams.
* Contribute to the continuous improvement of training processes and administrative efficiency.
* Promote Share membership, products and services.
* Ensure on-going contact with accredited course candidates, ensuring logging of, and turnaround of, assignments within timescales with accurate records kept.

Experience:
* Previous experience in an administrative role
* Previous experience of working in a fast paced environment with varying priorities
* Familiarity with the social housing sector and/or learning & development environments (desirable)
* Experience using a Customer Relationship Management (CRM) System/Database (desirable)
Skills and Knowledge:
* Effective written and verbal communication skills
* Proficient with Microsoft Office (Word, Excel, Outlook, Teams)
Other:
* Flexibility to work occasionally on weekday evenings

Competitive pay
We recognise the importance of rewarding your input and ensuring your salary contributes to a sense of financial wellbeing.The salary for this role is £24,000-£26,000 (DOE, pro-rata).
We know our team works best when their working life complements the rest of their life. Our contracted hours are Monday - Friday 9-5 for full time employees, however we trust our colleagues to manage their working hours so that they and the business can flourish.
Flexible working locations
On a day-to-day basis, most Share colleagues can work from anywhere with a wi-fi connection, and we have a wonderful modern office space which colleagues are encouraged to use as often as they like.The contracted place of work is our office space, but all we ask is that you commit to at least one day a week in the office with your colleagues.
Holidays
Share offer all colleagues 25 days annual leave and 13 days public holidays – we close the office for 10-14 days at Christmas so that everyone can start the New Year rested and recharged.
Family leave
Share colleagues can expect to join our enhanced maternity, paternity and adoption leave entitlement shortly after joining the organisation. We recognise that caring obligations can come in all shapes and sizes and will consider sympathetically any requests to assist in your caring obligations.
