About Our Client
My client, who are based in Oxford, are looking to recruit an Operations Executive to join their sociable, bubbly and friendly working environment. They are an organisation within the property industry - they are one of the leading companies within their area!
Job Description
Key responsibilities of the Operations Executive include:
3. Assisting the Operations Manager with a range of tenant administration
4. Maintaining and updating templates of leases and licences
5. Keeping tenants' electronic and paper records up-to-date
6. Maintenance of building plans
7. Preparing and maintaining procedure documents for tenant administrative processes
8. Assisting the Operations Manager with the development and implementation of the Netsuite system
9. Designing reports
10. Order new phones within policy
11. Allocation of SIM cards
12. Check invoices from suppliers are accurate and investigate unusual costs
13. Maintain gas, electricity and water usage spreadsheets
14. Liaise with property managers to get readings
15. Communicate with suppliers to ensure accurate billing
16. Dealing with annual contract renewals and obtaining best prices
17. Liaising with Regional Managers on requirements
18. Approving invoices
19. Preparing and reviewing annual budgets
20. Becoming familiar with business rates rules and practices
21. Approving business rates invoices
22. Notifying local authorities of changes of occupier and sorting out errors in billing
23. General admin support to the department
24. Drafting some communication material
25. Filing and any other administrative tasks as required
The Successful Applicant
The successful Operations Executive will:
26. Be highly organised and efficient, with an ability to prioritise work within tight deadlines, to multi-task and to be flexible
27. Have a high level of attention to detail and precision, including having the aptitude and patience to sort out detailed problems from time to time
28. Be able to act quickly and effectively and use initiative
29. Have excellent oral and written communications skills in English, including the ability to communicate with customers on administrative details politely and effectively
30. Be numerate and in particular be comfortable producing simple budgets and financial reports in Excel
31. Have a proven ability to be confidential
32. Be skilled at using Microsoft software, especially Outlook, Word and Excel
33. Be comfortable working in a large, open-plan office
