Job Title: Administrative Support Officer - Prison Healthcare

This is a permanent, full-time position with a shift pattern from Monday to Friday.
Role Overview
The Prison Healthcare service focuses on primary care, mental health, and addiction services within a prison setting. The administrator supports healthcare staff in line with NHS policies, ensuring effective service delivery and smooth administrative operations, including prisoner discharge arrangements and coordination with other services to enhance prisoner health and wellbeing.
Main Responsibilities
1. Provide polite and efficient reception and administrative support to patients, visitors, and staff, maintaining confidentiality at all times.
2. Handle mail, maintain and update both electronic and manual records, and ensure accurate data entry.
3. Manage filing systems, including retrieval from offsite storage, complying with Data Protection laws.
4. Prepare correspondence, operate office machinery, and adhere to quality and safety policies.
5. Assist in training and provide cross-cover support as needed.
6. Respond to inquiries via phone and face-to-face, providing information and directing queries appropriately.
7. Take notes and minutes during departmental meetings and assist in meeting preparations.
8. Maintain healthcare records for current and past prisoners, ensuring system integrity.
9. Develop and manage waiting lists for clinics, liaising with specialists to schedule appointments.
10. Coordinate hospital appointments, liaising with medical staff and external hospitals to ensure timely scheduling and adherence to protocols.
11. Follow instructions related to clinical and administrative procedures, including fasting and special requirements.
Systems and Equipment
Proficiency with Microsoft Office, SharePoint, health records systems (SPIN, Vision), and communication tools (email, intranet) is required.
Decision-Making and Confidentiality
The post requires exercising discretion and maintaining confidentiality at all times.
