Role Overview
Site Services Supervisor – Reprographics department. Located: London (On site). Duties include day‑to‑day operations, team management across two shifts, service delivery, quality control, compliance, and development of staff.
Key Responsibilities
* Manage the daily operation of the reprographics department to ensure smooth operations.
* Coordinate and oversee a team across two shifts, scheduling, holding team meetings, performance appraisals, and managing sickness/absence.
* Monitor the ServiceNow portal, ensuring all jobs are assigned and completed promptly.
* Maintain quality control for all jobs delivered and logged on the portal.
* Provide hands‑on support for services such as print, copy, scan, finishing, document processing, legal bundles and USB bibles.
* Address and resolve customer concerns or service issues promptly and professionally.
* Complete daily and monthly trackers to monitor performance and service levels.
* Assist with Health & Safety documentation and ensure compliance with site audit requirements.
* Support and assist with team training initiatives to maintain high standards of service.
Qualifications & Experience
* Proven experience in reprographics or document services within a legal or professional services environment, including bundles and electronic bibles.
* Strong leadership and team management skills.
* Excellent organisational and time‑management abilities.
* Strong communication and customer service skills.
* Microsoft Office – medium proficiency in Outlook, Excel, Word and PowerPoint.
* Basic document processing tasks (cropping, paginating, bookmarking, adding/removing pages, managing track‑changes).
* Attention to detail and commitment to confidentiality.
* Ability to multitask and prioritise in a fast‑paced environment.
* Professional demeanour and discretion at all times.
* Flexibility to adapt to changing priorities.
* Desirable: Proficiency in service‑management tools (e.g., ServiceNow, doc busters, entity) and knowledge of Health & Safety compliance and audit processes.
