Summary
The Freedom Networks team has a vacancy for an Administration Assistant. The main purpose of the role is to work within the Distributed Network Operators (SSE and SPEN) business across Scotland.
This role involves administering workstreams within the DNO Contracts, ensuring work is carried out safely, in line with company procedures and client specifications. The successful candidate will assist Project Managers in maintaining a full programme of works and ensuring all operatives work to their full productivity levels.
Key responsibilities include:
* Working with the work management system and administration team to ensure that all jobs are raised, scheduled, assigned, and completed as required.
* Collaborating with Project Managers on procurement, management, and engagement of Franchisees & Subcontractors.
* Reviewing and processing returned documentation from clients to ensure accurate job completion records.
* Supporting commercial and financial month-end processes, including raising invoices and managing forecasted works invoicing.
* Raising Purchase Orders where applicable.
* Managing and updating our Work Management System and other IT software, along with general administrative duties.
* Communicating effectively with personnel at all levels, both internally and externally. Conducting post-audit of completed works.
* Managing and maintaining employee and subcontractor training and competency records, organizing training courses, and requesting training records to keep our competency matrix current.
* Assisting the Operations Director and Manager in resolving blocked invoices and outstanding customer debts.
Candidate requirements:
* Strong IT literacy and numeracy skills, including detailed experience with MS Office 365 – Required
* Full UK Driving Licence – Desirable
* Experience in an administrative role – Desirable
* Experience with Framework contracts – Desirable
* Experience using work management systems – Desirable
* Experience with Purchase Order processes – Desirable
* Proficiency in Office 365 applications (Word, Excel, PowerPoint) – Desirable
