WHY THIS ROLE IS IMPORTANT TO US As the Executive Assistant to the UK Partou Executive Team; consisting of our Managing Director and Functional Directors you will play a pivotal role in our day-to-day operations and long-term successensuring that everything runs smoothly and efficiently. KEY RESPONSIBILITES: Day-to-day responsibilities will include: Diary Management: Coordinate and manage the diaries of the executive team, ensuring efficient planning, scheduling, and attendance at meetings. This includes managing associated needs and agendas to optimise their time. Task Monitoring: Track and monitor the actions and tasks assigned to senior leadership, ensuring deadlines are met and time scales are adhered to. Provide regular updates and reminders as needed to keep projects on track. Meeting Support: Prepare meeting packs and materials for various senior-level meetings involving the executive team. Attend meetings to provide support as required and accurately minute discussions and decisions for distribution. Ad hoc responsibilities will include: Travel Coordination: Arrange travel arrangements, including booking flights, accommodation, and transportation, for the executive team's business trips. Handle ad hoc travel requirements efficiently, taking into account preferences and budget considerations. Corporate Events Coordination:Assist in the planning, coordination, and execution of corporate events, such as conferences and company social events. Corporate Visitors: Provide high level service to internal and external visitors. This may include arranging special dinner arrangements, accommodation, and transportation. Event Planning:Previous experience assisting with the planning and coordination of corporate events, including logistics, vendor management, and attendee coordination.
