Receptionist and General Administrator – Estates (Grade 4)
Location: University of Birmingham, Edgbaston, Birmingham, UK
Full‑time, fixed‑term contract until January 2027. Closing date: 30 October 2025.
Salary range: £27,166 – £28,768, with potential progression to £32,145 after placement.

Role Summary
Provide proactive administrative support to the Estates department, working independently and flexibly across the University. You will manage various tasks, including visitor reception, key allocation, health and safety coordination, diary management, data processing, and internal communication.
Main Duties
* Act as point of contact, providing accurate information, resolving queries, and escalating where necessary.
* Meet and greet visitors, ensuring proper reception for staff, members of the public and senior visitors.
* Maintain key records, allocate access keys, and keep an up‑to‑date key audit.
* Play a key role in health and safety matters such as contractor inductions and emergency escalation.
* Communicate relevant information to students, staff and external contacts.
* Provide administrative support for diary and event planning.
* Process data, monitor accuracy, chase missing information and report issues.
* Use complex University systems to analyse data and produce routine reports.
* Maintain relationships with stakeholders, field queries, resolve complaints promptly.
* Offer advice and support within your area of activity.
* Review processes and propose improvements and best practices.
* Support equality and diversity, avoiding discriminatory impact.
* Type minutes from dictaphone recordings, ensuring compliance with departmental style.
* Other reasonable duties as instructed by the Director of Estates.
Required Knowledge, Skills, Qualifications, Experience
* Professional experience in a similar role.
* GCSEs Grade C (or equivalent) in English and Mathematics.
* Good IT skills with Microsoft Office.
* Ability to take responsibility and work independently.
* Proactive contribution to process improvement.
* Excellent communication skills.
* Well organized, able to prioritise work.
* Understanding of excellence in customer service.
* Experience with complex work systems (student databases, finance, HR).
* Adaptability to rapid change.
* Understanding of equality and diversity in the workplace.
* Ability to identify and respond to equality and diversity issues.
Other Information
Line management and budget responsibilities are not part of this role. The position reports to the senior manager, operating within existing policies and procedures.
