We are looking for a talented administrator to work within the Programme Support Office to provide a range of administrative support working alongside colleagues on a large number of concurrent research projects managed by the RAND Europe research teams.
This role will be based at our Cambridge office with the opportunity to work from home 3 days a week, ensuring team office presence 2 days a week.
Key Responsibilities
* accurate and timely data entry of Proposals and Projects into the timesheet processing system
* managing and maintaining the records relating to RAND Europe’s portfolio of research frameworks
* pro-actively support the central team email inbox within the PSO
* the provision of appropriate, timely and accurate project information within own project portfolio
* supporting the internal proposal advisory group with required information and reporting, Including Agenda/Meeting Co-ordination.
* the communication, input and maintenance of client and supplier data
* Create and log Purchase & Associate Orders.
* the joint oversight, updating and communication of PSO process related documentation
* timely administration in areas of record maintenance and archiving
* effectively, pro-actively, and in a timely manner, supporting proposal teams with administrative requirements within proposal tender specifications
* maintaining good working relationships with colleagues in the Finance and Research teams
* maintaining a good working relationship with colleagues in Santa Monica and co-ordination and management of a weekly – keep in touch – conference call, taking and communication of minutes
* pro-actively supporting colleagues in the wider Programme Support Office and the Programme Support Office Manager with day to day ad-hoc requirements
* Review Proposal Budgets prior to Finance Director Approval in support of the Programme support Officers.
Requirements
* You may have experience from a different field to professional services or research but will have proven competency in working in a support role within complex and fast moving project environments.
* Experience of working in system data entry
* Experience in business administration
* Administration support role experience essential
* Experience of working in an environment with non-moveable deadlines
* Experience working in a SME environment preferred
* Experience with working in professional services or research environments desired
* Strong communications skills – written and verbal
* Proactive with excellent team working
* Ability to coordinate document management processes and reporting
* Excellent IT skills – competency with MS Excel, Word, PowerPoint, & Outlook
* Well-developed organisational skills with ability to effectively priorities tasks and manage pressure from multiple deadlines, whilst maintaining timely and quality output along with accurate record maintenance.
* Helpful, pro-active and responsive nature, with a “can do” attitude.
