About the Role: We are seeking a HR Assistant to join our People & Culture team. The ideal candidate will have strong administrative experience, excellent communication skills, and the ability to handle peak demands. You will be responsible for delivering high standards in basic HR tasks while helping to improve our processes and optimize our use of in-house and external systems.
Working Pattern: Monday - Friday: 8:45am - 5:30pm.
Location: Office based in Luton.
Day-to-Day Responsibilities:
* Administer onboarding processes, including writing offer letters and contracts, and coordinating pre-employment checks such as DBS and right-to-work checks.
* Manage offboarding processes.
* Coordinate monthly new joiner inductions, ensuring scheduling of rooms and presenters.
* Assist with ad-hoc training administration tasks, such as recording and documenting training sessions.
* Review probation processes, support managers with reviews, and handle extensions and completions.
* Manage absence reporting, assist with early intervention, and ensure adherence to absence policies.
* Maintain data accuracy within the Hibob system and collaborate with business units to keep records current.
* Support payroll preparation and processing with confidentiality and accuracy.
* Assist with employee engagement surveys and analyze data within our performance management system.
* Support Employee Relations Specialists with administrative tasks, including note-taking and documentation.
* Report on non-completion of employee returns, such as mileage forms.
* Support annual HR processes, including employee surveys and performance reviews.
Minimum Requirements:
* Experience in HR administration or relevant administrative roles.
* Strong organizational skills and a process-driven approach.
* Proficiency in Microsoft Office, including Word, Excel (Mail merge, formulas), and PowerPoint.
* Excellent Outlook and calendar management skills.
* CIPD Level 5 qualification is desirable but not essential.
* Familiarity with HR systems like HiBob is desirable but not essential.
