Admin Assistant - End of Life Care Coordination Hub
An exciting opportunity has arisen within the Connected Palliative Care Service for an experienced Administrative Assistant to join our existing administrative team in supporting patients at end of life. The team is professional, friendly, flexible and maintains a CQC rating of excellent.
The vacancy would be suitable for a caring and empathetic person who can communicate clearly to patients, relatives and health and medical staff with strong resilience in this specialist area. An administration background of working in a fast‑paced environment is essential.
The Hub services working hours are from 8am - 8pm. All applicants need to work flexibly, including weekends and Bank Holidays. You will receive enhancements for working weekends and Bank Holidays (this is including Christmas, New Year and Easter Bank Holidays).
The service has social events and working within the NHS you will have benefits and annual leave starting at 27 days plus bank holiday allowance.
We would welcome applications from candidates who do not hold the Level 3 Business Administration qualification as this could be offered during employment
Main duties of the job
This is an important supportive administration role within the End of Life Care Coordination Hub. The HUB is a single point of access for patients in their last year of life, patient's families/carers and healthcare professionals and is part of the wider care navigation centre.
The post holder will be required to provide a full administration service to the Coordination Hub supporting all process and procedures:
* Answering telephone calls from patients, relatives, healthcare professionals and ensuring positive ID and GDPR confidentiality rules are followed, escalating appropriately.
* Recording and typing up accurate information on patient record systems.
* Communicating with outside professionals clearly and in a timely manner, and working with the team to provide a quality of care to patients at the end of life, following up on calls to health care professionals, patients or relatives.
* Providing administration duties within the office area and to the service in general, such as filing, typing letters, scanning documents, laminating, stocking up of paper and leaflets, updating databases on Excel, note/minute taking to wider service, stationery control, and keeping working areas clean, tidy and clear of clutter.
You will be expected to complete a full range of Administrative Competencies within a 12 month period.
Qualifications
* GCSE or equivalent in English and Maths
* NVQ Level 2 in Business Admin or equivalent
* Customer Service Qualification

* Previous NHS/GP Surgery experience
* Previous Admin/Clerical experience
* Experience of patient information systems (e.g. Systm One, Unity, Rio)
* IT Skills & Knowledge of Microsoft Packages
