Anderson Knight are delighted to be recruiting for a Contracts and Tendering Specialist on behalf of a leading contractor in the Glasgow area. This position is ideal for someone who thrives on managing tendering processes, coordinating contract compliance, and ensuring accurate and timely submissions of bids, all while maintaining robust documentation and supporting quality assurance.
About the Role
This is a key position within the business, responsible for managing the full lifecycle of tender submissions and supporting the contract administration process across a range of civil engineering and infrastructure projects. The role also includes responsibility for maintaining quality and compliance standards in line with company and regulatory expectations.
Tendering & Contracts Management
* Lead the end-to-end tender process, from opportunity identification through to submission and post-bid clarifications.
* Review and interpret tender documentation to identify scope, obligations, and submission requirements.
* Coordinate with project teams, estimators, engineers, and commercial staff to gather input and ensure comprehensive and compliant submissions.
* Prepare and format high-quality tender documents, including technical, commercial, and contractual content.
* Monitor tender portals and industry bulletins to identify and evaluate relevant opportunities.
* Assist in the negotiation and review of contract terms, highlighting risks or deviations from company standards.
* Maintain a contracts register and ensure that all contracts and associated documentation are recorded, tracked, and accessible.
Quality & Compliance Support
* Ensure that all tender and contract submissions comply with internal quality management systems and relevant legislation or industry standards (e.g., ISO 9001).
* Support the development and maintenance of standard operating procedures related to contract compliance and quality assurance.
* Participate in internal audits and assist in the implementation of corrective actions or continuous improvement initiatives.
* Support teams in understanding contractual obligations and assist in resolving compliance issues throughout project lifecycles.
Administrative & Reporting Duties
* Assist in the preparation and submission of pre-qualification questionnaires (PQQs) and supplier frameworks.
* Prepare regular reports on tender outcomes, contract performance, and compliance metrics for senior management.
* Organise and maintain accurate filing systems for tenders, contracts, and related correspondence.
* Maintain a library of standard responses, templates, policies, and accreditations used in bid submissions.
Key Requirements
* Proven experience in a tendering, bid coordination, or contracts administration role—preferably in construction, civil engineering, or a related technical environment.
* Solid understanding of contract law principles, procurement procedures, and construction contract formats (e.g., NEC, JCT).
* Experience producing persuasive, compliant, and high-quality tender submissions.
* Strong organisational and time management skills with the ability to prioritise and meet strict deadlines.
* Excellent attention to detail and written communication skills.
* Proficient in Microsoft Office Suite and tendering platforms (e.g., PCS, Proactis).
* Familiarity with quality standards and HSEQ systems (e.g., ISO 9001, ISO 45001) is desirable.

* Demonstrates initiative in identifying opportunities for contract or bid process improvements.
