The post holder will provide comprehensive administrative support to the Sickle Cell Service at Luton and Dunstable Hospital. The role will involve managing patient information systems, coordinating appointments, supporting service audits and clinics, liaising with internal and external healthcare professionals, and ensuring smooth day-to-day running of administrative processes. The post holder will act as a key point of contact for patients, families, and multidisciplinary teams, demonstrating sensitivity, confidentiality, and professionalism at all times.

Main duties of the job

KEY RESPONSIBILITIES

1. Administrative Support

Provide day-to-day administrative support to the Sickle Cell team including Specialist Nurses, Consultants, and other allied health professionals.

Maintain accurate and up-to-date records on hospital systems (e.g., EVOLE, Bighand).

Schedule, coordinate and confirm appointments, follow-up clinics, annual reviews and MDT meetings.

Type and distribute clinic letters, reports and care plans using Trust-approved templates.

Liaise with interpreters and patient transport services as required.

Maintain filing systems (both digital and paper) in accordance with Trust protocols and GDPR.

2. Patient-Facing Support

Be a first point of contact for patient enquiries (phone, email, or face-to-face) and provide reassurance and support, escalating concerns to clinical staff where appropriate.

Support the delivery of high-quality patient care by helping coordinate patient education sessions, group activities or community engagement initiatives.

Manage patient satisfaction surveys and assist with patient feedback collection as part of service improvement.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
