About the Role
The Corporate Services Assistant will provide comprehensive executive and administrative support to the Managing Director and the leadership team. This role supports the monthly Business Operational meetings and plays a critical role in ensuring smooth operations at the executive level. The Corporate Services Assistant will lead on legal matters to ensure compliance with regulations.
Main Responsibilities
Executive Assistant
* Complete a broad variety of administrative tasks for the Managing Director including management of appointments, travel, expenses and diary management, ensuring the Managing Director’s schedule is followed and respected.
* Prepare travel arrangements, complete visa applications and all other arrangements necessary for the Leadership team.
* Support the Leadership Team with monthly reporting for BOP meetings, arranging meetings, co-ordinating presentations, capturing actions and ensuring follow up each month.
* Liaise with International Spirits executive assistants and key contacts in other business units to support with all arrangements of meetings and visits.
* Manage and deliver, to a high standard, all visits both internal and external to the business, making all necessary bookings and arrangements.
* Manage all corporate accounts and invoices for corporate memberships.
* Raise and monitor Purchase Orders and report on the executive cost centre on a monthly basis, tracking spend versus budget.
* Will be required to support with other ad-hoc tasks and projects that may be deemed necessary.
* Manage and own your professional development in order to achieve your work objectives and your career and personal goals.
Legal Co-ordinator
* Ownership of the legal Ops Navigator tool to Implement new legal framework, developing new processes and procedures that better manage risks across the business.
* Assist with the preparation, review, signing and filing of legal documents for the Leadership Team.
* Maintain the Contracts Database for all legal agreements pertaining to the Leadership Team.
* Manage the legal Trademark database, liaising with the external advisor and the commercial team to ensure Trademarks are compliant and kept up to date.
* Co-ordinate communications between the external legal advisors and internal departments as required.
* Lead the GDPR working Group, ensuring compliance with data protection regulations through the completion of the annual audit and action plan. Ensure processes and policies are kept up to date and adhered to.
Scottish Enterprise
* Co-ordinate the central admin process and database for Scottish Enterprise funding.
* Support the business with the application process including liaising with Account Manager at SE and the claims process.
* Ensure the business is fully utilising di-minimis fund available.

* Educated to degree level, preferably in business related topic.

* Logical and calm when working to difficult timeframes.
* Self-starter, able to work on their own initiative.
* Strong interpersonal and communication skills.
* Proficient across all Microsoft Office applications including Copilot and other AI tools.
