Role :
We are seeking an organised and detail-oriented NHS Medical Records Administrator to join our dedicated team on a 12-month fixed-term contract (FTC), working part-time (16 hours per week, Wednesday & Friday).
This role is essential to the smooth running of our services, ensuring that all patient records are accurate, secure, and accessible to our clinical teams. You will play a key part in appointment coordination for patients on long-waiting lists, supporting efficient care delivery and improving the patient experience.
Previous administrative experience is essential, and experience in an NHS or healthcare setting would be highly advantageous.
Key Responsibilities:
* Patient Records Management:
* Maintain accurate and up-to-date patient records using SystmOne.
Appointment Coordination:
* Schedule and manage appointments for patients, with a focus on those on long-waiting lists.
* Liaise with clinical staff to ensure appointment slots are optimised.
Administrative Support:
* Provide general administrative support, including filing, scanning, and data entry.
* Handle inbound and outbound patient calls with professionalism and care.
Compliance:
* Adhere strictly to GDPR, NHS data protection policies, and patient confidentiality guidelines.
* Ensure all documentation is managed securely and accurately.
* Prepare and organise medical records for appointments and clinical use.
Person Specification
Essential:
* Previous experience in an administrative role (NHS/healthcare preferred).
* Strong organisational skills and attention to detail.
* Confident communicator with excellent interpersonal skills.
* Ability to work collaboratively within a busy team.
* Competence in Microsoft Office and general IT systems.
Desirable:
* Experience using SystmOne or similar healthcare software.
* Experience coordinating appointments or managing waiting lists.
Working Hours
This is a part-time role, working 16 hours per week on Wednesdays and Fridays. Start time is 8:00am or 8:30am.
