Help Keep tombola Running Smoothly
We're looking for an
IT Purchasing Administrator
to join our IT Services team and take ownership of the end-to-end procurement process for all things tech at tombola. From laptops and software licences to specialist services, you'll make sure we source the right products, at the right price, and at the right time.
This role is central to keeping our operations efficient, ensuring we get the tools we need to support our players, our teams, and our growth. If you're experienced in IT procurement and enjoy working with suppliers, systems and stakeholders alike, this could be the role for you.
What You'll Be Doing
Procurement Operations
* Manage day-to-day purchasing for IT hardware, software, and services.
* Collect and validate requests from across the business, ensuring timely and cost-effective delivery.
Supplier & Vendor Coordination
* Liaise with suppliers for quotes, tenders, and contracts.
* Build strong relationships with approved vendors and ensure compliance with procurement policies.
Invoice & PO Management
* Process purchase orders and invoices through Oracle (or equivalent ERP).
* Monitor delivery timelines and maintain accurate procurement records.
Renewals & Tracking
* Keep track of software renewals and subscriptions to avoid disruption.
* Administer internal schemes such as the Computer Purchase Scheme in coordination with Payroll and line managers.
Compliance & Governance
* Ensure procurement follows internal policies, financial controls, and data protection requirements (including DPIA).
* Support audit readiness through accurate and organised documentation.
What We're Looking For
Procurement Expertise
– proven experience in IT purchasing, procurement, or supply chain operations, ideally within a tech-led environment.
System Skills
– hands-on experience using enterprise systems such as Oracle for POs, invoices, and approvals.
Supplier Management
– strong negotiation skills and experience working with vendors on contracts, pricing, and compliance.
Organisation
– excellent attention to detail with the ability to juggle multiple procurement tasks.
Collaboration
– a team player who works well with IT, Finance, and wider operational teams.
Policy Awareness
– understanding of procurement compliance, financial controls, and data protection standards.
