Role Summary
We are seeking a dedicated Operations Officer to join our team in Croydon. The Care Operations Officer plays a pivotal role in ensuring the effective day-to-day operation of our domiciliary and supported living services. The postholder will support operational delivery across supported homes and community-based care packages, ensuring services are delivered safely, efficiently, and in full compliance with regulatory requirements.
The role requires a strong working knowledge of CQC standards, including the Fundamental Standards under the Health and Social Care Act 2008 (Regulated Activities) Regulations 2014. The Care Operations Officer will work closely with the Registered Manager, Line Managers, and Care Coordinators to ensure systems, documentation, staffing arrangements, and quality monitoring processes meet regulatory expectations.
Key Responsibilities1. Operational Oversight
* Monitor and review daily care schedules and rotas across supported living homes and domiciliary services to ensure safe staffing levels.
* Prompt and support Care Coordinators to ensure timely completion of care visits, daily notes, incident reports, and documentation.
* Ensure continuity of care and escalate operational risks appropriately.
* Act as a liaison between office management, Line Managers, and Coordinators to maintain effective service delivery.
Regulatory Compliance & Quality Assurance
* Maintain accurate and audit-ready compliance records, including staff files (DBS, right to work, training, supervision records).
* Support the Registered Manager in preparing for CQC inspections and internal audits.
* Monitor compliance with policies, procedures, safeguarding requirements, and risk management processes.
* Ensure adherence to the CQC Fundamental Standards, including safe care and treatment, safeguarding, staffing, and good governance.
* Identify areas of operational or compliance risk and escalate promptly.
Governance & Documentation
* Maintain oversight of training compliance and mandatory updates.
* Support quality assurance processes, including spot checks, audits, and service reviews.
* Assist in ensuring care plans, risk assessments, and records are up to date and reflective of service user needs.
* Contribute to continuous improvement initiatives.
Finance & Administration
* Support payroll preparation, ensuring accuracy of timesheets and authorised hours.
* Assist with invoicing, billing processes, and reconciliation of commissioned care hours.
* Maintain operational data and produce reports to support performance monitoring and governance.
Staff & Operational Support
* Provide operational guidance to Care Coordinators in line with company policy and regulatory expectations.
* Support Line Managers with monitoring staff performance data and operational metrics.
* Promote professional standards, appropriate boundaries, and safeguarding awareness within the workforce.
Communication & Reporting
* Produce operational and compliance reports for senior management.
* Maintain clear, professional communication across homes and office functions.
* Ensure concerns, incidents, complaints, and safeguarding matters are escalated appropriately in line with policy and regulatory requirements.
Key Skills & Competencies
* Strong understanding of CQC regulations and inspection frameworks.
* Knowledge of domiciliary and supported living regulatory requirements.
* Excellent organisational and prioritisation skills.
* High attention to detail, particularly in documentation and compliance.
* Ability to analyse operational data and identify risk trends.
* Confident communicator capable of professionally prompting and guiding coordinators.
* Strong IT literacy (Microsoft Office, care management systems, rostering platforms).
* Ability to maintain confidentiality and handle sensitive information appropriately.
* Calm and solution-focused under pressure.
Qualifications & Experience
* Proven experience in care operations, care coordination, or senior administration within a regulated care environment.
* Demonstrable understanding of CQC standards and regulatory compliance.
* Experience supporting audits, inspections, or quality assurance processes.
* Experience in domiciliary care and/or supported living services.
* Relevant qualification in Health & Social Care (Level 3 or above desirable).
* Safeguarding and governance training desirable.
Reporting Structure
* Reports directly to the Registered Manager / Director.
* Works collaboratively with Line Managers and Care Coordinators across supported living homes and domiciliary services.
* Supports governance and operational functions across the organisation.
