About Us
We are a well-established, friendly GP Practice providing high-quality primary care to our local community. Alongside our NHS services, we manage a range of private administrative work, including insurance and solicitor requests, employment medicals, and other non-GMS reports.
We are looking for a reliable and well-organised Medical Reports Clerk to support the team by coordinating and processing all aspects of private, non-NHS administrative work.
This is an excellent opportunity for someone with strong administrative skills and attention to detail who enjoys working in a busy, professional environment.
Job Summary
The postholder will manage and process all non-NHS (private) report requests, including those from insurance companies, solicitors, employers, and patients. They will liaise with clinicians to ensure reports are completed accurately and within required timeframes, handle invoicing, and maintain detailed administrative and financial records for all private work.
The postholder will also manage Subject Access Requests (SARs), ensuring patient data is released lawfully and securely, in compliance with GDPR and NHS information governance standards.
Key Responsibilities
* Receive, log, and process all private and third-party requests (e.g. insurance forms, solicitor reports, DVLA, employment medicals).
* Liaise with patients, insurers, solicitors, and external agencies as needed.
* Coordinate with GPs to ensure timely completion of private reports.
* Maintain an accurate record of all requests, payments, and completions.
* Generate invoices for private work and monitor payments.
* Ensure compliance with GDPR, confidentiality, and information governance policies.
* Work closely with the Patient Correspondence Manager to monitor private work activity
* Work closely with the Finance Manager to monitor income.
* Manage Subject Access Requests (SARs) in line with Data Protection legislation and practice policy.
* Verify identity and consent, prepare records for release, and ensure all requests are completed accurately and within legal timeframes.
* Redact third-party or sensitive information as appropriate and maintain a clear audit trail for all SARs.
About You

Desirable:
* Previous experience in a GP Practice or healthcare setting.
* Knowledge of private report processes, invoicing, or medical administration.
* Understanding of data protection and medical confidentiality standards.
* Good IT skills (Microsoft Office essential; experience with SystmOne and Xero)
