️Role Summary
We are seeking a professional, personable, and proactive receptionist to serve as the primary point of contact for our organization. This dual-role position combines front-of-house responsibilities with administrative support for the Facilities team and Executive Assistants. The ideal candidate will possess exceptional communication skills, meticulous attention to detail, and the ability to thrive in a dynamic environment.
Working hours:
* Part-time: Monday to Friday, 9:00am to 3:00pm
️Key Responsibilities
Reception Duties
* Greet and welcome visitors with professionalism and warmth
* Manage incoming phone calls, emails, and deliveries
* Handle incoming and outgoing mail
* Coordinate meeting room bookings and visitor access
* Oversee fleet vehicle bookings, including servicing, MOTs, and road tax
* Raise and process purchase orders
* Support general housekeeping tasks as needed
* Maintain a clean and organised reception area
Executive Assistant Support
* Arrange domestic and international travel and accommodation bookings; maintain an e-log of travel details
* Manage confidential correspondence and filing systems with discretion
* Prepare meeting rooms, including coordination with IT and Facilities teams for AV and furniture setup
️Required Qualifications and Experience
Proven experience in a receptionist and administrative support role
* Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
* Excellent organisational and time-management abilities
* Professionalism and confidentiality in handling sensitive information
* Capable of working independently and collaboratively
