About NGTC
Based in Greater Manchester, New Generation Training and Consultancy (NGTC) has been trading since 2008, predominately delivering AEB, ESF and full‑cost recovery programmes. We provide training within the security and events sectors, attending major sporting and music events at venues and partnering with some of the biggest employers in the country. Our core curriculum focuses on progressing learners into sustainable employment within the security and night‑time economy, offering qualifications ranging from level 3 to level 5 (Spectator Safety, Door Supervisor, etc.).
Purpose of the role
The Student Services Officer oversees the administrative team, ensuring smooth operation of student‑related services and a high standard of support to learners throughout their educational journey. Duties include managing administrative processes, maintaining accurate records, ensuring compliance with organisational policies and external requirements, overseeing the CEIAG Portal and Jobs Board, and promoting learner well‑being, safety and equality.
Main Duties and Responsibilities
* Administrative Team Management
o Lead and manage the administrative team, defining roles, responsibilities and performance expectations.
o Conduct regular team meetings to review progress, share updates and address challenges.
o Monitor and evaluate team performance, providing feedback, support and training.
o Ensure administrative processes are efficient, accurate and aligned with organisational goals.
* Learner Support Services
o Oversee delivery of high‑quality learner support services, including enrolment, attendance monitoring and course documentation.
o Act as a point of contact for learners, addressing inquiries and providing guidance.
o Communicate timely information to learners about timetables, policies and deadlines.
o Coordinate access to support services and resources to promote well‑being.
o Ensure the CEIAG Portal and Jobs Board are effective, accessible and regularly updated.
o Monitor success of CEIAG resources in supporting learners’ career aspirations.
o Provide insights and recommendations for improving portal functionality and reach.
o Promote key initiatives: learner well‑being support, career advice (IAG), equality, inclusion, safety, safeguarding, health and safety.
o Identify and address barriers for disadvantaged learners.
o Maintain accurate, up‑to‑date learner records.
o Ensure compliance with data protection regulations and organisational policies.
o Support preparation of reports and data submissions for internal and external stakeholders.
o Identify opportunities to streamline administrative processes.
o Collaborate with other departments to integrate administrative support with teaching, learning and quality assurance.
o Provide insights and recommendations to the Operations Director.
o Represent the Student Services team in meetings and discussions as required.
Essential Criteria for Candidates
* Proven experience in student services, administration or operations.
* Strong leadership and team‑management skills.
* Excellent organisational and time‑management abilities.
* Proficiency in data‑management systems and Microsoft Office Suite.
* Strong interpersonal and communication skills.
* Attention to detail and commitment to accuracy.
* Understanding of equality, diversity and inclusion principles.
* Commitment to promoting learner well‑being and safety.
Desirable
* Experience in the education or training sector.
* Knowledge of ESFA‑funded programmes and compliance requirements.
* Familiarity with safeguarding practices and learner support needs.
* Relevant management or leadership qualifications.
