Description
We are seeking an experienced and proactive Client Services Administrator / IFA Administrator to join our Brighton team. This role is pivotal in delivering exceptional administrative and client support to our Financial Planners and ensuring a seamless experience for our clients.
What you'll do
Client Support
Assist Financial Planners in preparing and facilitating client meetings (virtual and in-person).
Act as the primary administrative contact for clients, ensuring a smooth and professional experience.
Administrative Functions
Manage daily administrative tasks including application submissions and CRM updates (Enable).
Maintain proactive communication with clients and providers throughout all processing stages.
Compliance and Documentation
Conduct electronic Anti-Money Laundering (AML) checks.
Oversee documentation for new business and asset transfers, ensuring all compliance documents are accurately uploaded and submitted.
Information Gathering
Source quotes, illustrations, and product details for analysis.
Compile client data to support the creation of tailored recommendation reports and correspondence.
Communication
Prepare and send documents for electronic signature via Adobe Sign.
Handle client and provider queries via phone and email with professionalism and efficiency.
The knowledge, experience and qualifications you need
* Proven experience in a client services or financial administration role, ideally within financial planning or wealth management.
* Strong relationship-building skills with internal and external stakeholders.
* High attention to detail and a proactive, solutions-focused mindset.
* Ability to manage multiple priorities in a deadline-driven environment.
* Proficiency in Microsoft Office and familiarity with CRM systems (Enable, Fusion, Wealth Platform).
* Excellent communication skills – both written and verbal – with a confident telephone manner.
* Willingness to complete internal training and tutorials to stay up to date with systems and processes.
* A collaborative approach and a positive attitude toward change and continuous improvement.
* Qualifications such as R01, FA1, FA2 are advantageous, or a desire to work towards them.
