About Us:
We are one of the largest criminal defence law practices in the South West of England. We are looking to recruit a full-time Administrator for our Keynsham office.
Hours: Full time
Days: Monday to Friday 8:30-5pm.
Responsible to: Practice Manager
Key Responsibilities:
* Answer incoming phone calls, transfer calls or deal with callers' requests appropriately
* Make outgoing calls, as needed
* Assist clients with routine enquiries (e.g. court dates), where able, both in person and by telephone
* Take and pass on accurate messages to colleagues in a timely manner
* Scan, photocopy and print documents, as required
* Maintain a clean, tidy, effective working area at all times
* Monitor and maintain the reception area and noticeboards
* Support the wider team with general administrative tasks as requested
* Support colleagues, providing cover during staff absences
* Action emails, as necessary
* Order and monitor stationery supplies
* Open, sort and distribute incoming mail and envelope, stamp and post outgoing mail
* Transfer telephones to the out of hours service
* Arrange cover for police station interviews, court dates, etc
* Arrange meetings/appointments, when requested
* Provide administrative support to the Practice Manager in relation to her duties
* Open and update files in Law Fusion (case management system)
* Proactively administer an efficient diary
* Undertake other matters which you are competent to conduct
* Work harmoniously with colleagues and clients of all cultures and backgrounds in accordance with our Equality & Diversity Policy
* Undertake all mandatory training and induction programmes
Person Specification
Qualifications:
* Educated to GCSE level or equivalent (essential)
* GCSEs Grade C or 4 in English & maths (desirable)
* NVQ qualifications (desirable)
Experience:
* Experience of working with the public (essential)
* Experience of working in a criminal defence law firm (desirable)
* Experience of liaising with the police, courts, CPS, expert witnesses, interpreters (desirable)
* Experience of using case management software (preferably Law Fusion) (desirable)
Skills (all essential):
* Excellent communication and interpersonal skills (written and verbal)
* Strong IT skills including use of office, outlook, excel, etc
* Clear, polite, confident telephone manner
* Effective time management (planning, organising and meeting deadlines)
* Able to work using own initiative and as part of a team
* Able to follow office policies, processes and procedures
