What you'll be doing ...

As a Client Services Administrator at Totality Wealth, you will play a crucial role in delivering high‑quality service to our clients and supporting our advisers in the planning process. Your work will include:


Client Support

* Build and maintain strong relationships with clients, ensuring regular and proactive communication.
* Serve as the first point of contact for enquiries, offering prompt and courteous support.
* Assist clients with account queries, transactions and service‑related requests.
* Ensure every client interaction is professional and delivers an exceptional experience.


New Business and Case Management

* Process new business for both new and existing clients.
* Manage pipelines proactively to ensure timely completion of client cases.
* Liaise with clients, product providers and third parties to support ongoing advice and servicing.


Documentation and Case Management

* Prepare valuations, reports, and documentation for adviser meetings.
* Obtain illustrations, quotations, fund information, and transfer values from providers.
* Organise and maintain complete and compliant client files.


Administrative Support

* Maintain accurate client records and CRM systems (including CURO).
* Process account openings, updates and closures.
* Produce and distribute client correspondence, statements and summaries.
* Handle incoming calls, post, emails, and general office duties.


Compliance and improvement

* Ensure all dealings and documentation adhere to FCA guidelines and company procedures.
* Handle sensitive information with the highest level of discretion.
* Conduct product and market research to support advisers and recommendations.
* Identify opportunities to enhance processes and improve client service quality.
* Contribute to team meetings and operational improvement initiatives.
* Stay informed on industry changes, regulatory updates and best practice.


Where you'll be working...

This is a hybrid role, giving you the flexibility to work primarily from home, with office visits. You’ll still be closely connected with our small, collaborative team, joining us in Henley‑in‑Arden bi‑weekly for catch‑ups, planning sessions and shared learning. The rhythm is designed to give you the best of both worlds: the focus and comfort of home working, combined with meaningful in‑person time that strengthens relationships and supports great client outcomes.


What we're looking for...

We’d love to hear from you if you are:

* Experience in a financial services or wealth management (essential).
* Strong communication skills and a commitment to excellent client service.
* High attention to detail and the ability to manage multiple tasks.
* Strong organisational skills and confidence working with CRM systems.
* A proactive attitude and willingness to learn and grow.
