Job summary
In this role you will support the Head of Secretariat as part of a small team, charged with supporting the Companies House Main Board and its wider Boards and Committees.
You will be responsible for providing a high level of secretarial support to Executive Directors and Stakeholders and will support governance arrangements across the organisation.

Job description
Typical responsibilities will include:
1. Coordinating agendas, papers and meetings for Boards and Committees to a high standard;
2. Delivering administrative support to Boards and Committees to ensure effective running;
3. Drafting high quality minutes of meetings, communicating decisions and actions of Boards and Committees effectively, and ensuring transparency of decision-making;
4. Maintaining internal guidance and information on the Companies House Intranet;
5. Working closely with the Head of Secretariat and Chairs of Committees to ensure decisions are made in the appropriate forum, and that Committees are operating in line with their Terms of Reference (ToRs);
6. Assisting in the periodic review of the effectiveness of Boards and Committees, and supporting the implementation of improvements, as necessary;
7. Supporting the Executive Directors in providing professional and high-quality support and service;
8. Building relationships and communicating professionally and confidently with Directors and Non-Executive Directors (NEDs), representing Companies House appropriately in all your interactions; and
9. Liaising with Chairs, NEDs and Executive Directors, to ensure decisions are made in the appropriate forum, and that Boards and Committees are operating in line with their ToRs
Experience - to be assessed at sift and interview
10. A good understanding of the principles of good corporate governance, in the context of a ministerial department or a similar organisation;
11. Experience of operating flexibly and working at pace, planning and prioritising to meet tight deadlines;
12. Experience in building consensus across different NEDs and Executive Directors, with different priorities; and
13. An exceptional level of integrity with a proven ability to deal with sensitive material.
14. Relevant experience operating within a similar role;
15. An appreciation of Companies House and its aims, strategies and plans; and
16. A relevant professional qualification.
Technical Skills - to be assessed at sift and interview
17. An ability to plan, deliver and document meetings that support high-quality strategic discussion and effective decision making;
18. An ability to communicate using appropriate styles, to maximise understanding and impact;
19. Excellent writing skills, including high attention to detail; and
20. Strong negotiating skills.
Person specification
As Secretariat Officer, you will be a key part of the Chief Executive�s team, working to support the Chair, the Chief Executive Officer and Companies House�s Board and its Committees to deliver the organisation�s strategy. You will ensure the smooth running of key Committees, ensuring decision making is fully informed and conforms to the relevant standards, codes, and frameworks.
You will be highly organised and proactive and able to take a key role within our Secretariat function. You will have excellent communication skills, both written and verbal, and an ability to use your own initiative. You will be able to operate both independently and as part of a team, with an ability to adapt well to change and provide cover and support for colleagues when needed.

Alongside your salary of �31,349, Companies House contributes �9,081 towards you being a member of the Civil Service Defined Benefit Pension scheme.
Please note that the minimum salary does not reflect the 2023/24 pay deal and we are therefore expecting this to increase in the near future.
