MAIN MISSION – PURPOSE


The Senior Fleet Assistant supports Fleet Managers by ensuring the reliability, consistency and availability of wagon maintenance data and documentation, which are essential for operational traceability and compliance with ECM requirements.


Beyond data entry, the role involves upstream data verification, including the analysis of completeness and consistency prior to registration, and active contribution to the continuous improvement of maintenance data management processes.


Through expertise and autonomy, the Senior Fleet Assistant directly contributes to the overall performance of fleet management, the quality of service delivered to customers, and the security of regulatory certifications.


RESPONSIBILITIES


The Senior Fleet Assistant is responsible for ensuring the overall quality and reliability of wagon maintenance data, a key condition for operational fleet management and for maintaining Touax’s ECM certification.


In this context, the role provides daily support to Fleet Managers and may be delegated the following responsibilities:


Maintenance Data Management & Quality Control

* Verify the completeness, consistency and compliance of data before and after system entry
* Carry out the recording of data and initiate necessary corrective actions in case of non-compliance
* Ensure structured and compliant archiving of maintenance documents (reports, quotations, photos, incidents)
* Enforce strict compliance with document naming and filing rules


Operational Wagon Management

* Record and monitor workshop entries and exits
* Analyse, code and register repair quotations according to Fleet Managers’ instructions
* Record and track spare parts and axle requests
* Review and consolidate data from industry platforms
* Issue and verify customer rental pro-forma invoices


Reporting & Coordination

* Prepare, consolidate and validate data extractions required for fleet and workshop performance reporting
* Contribute to the improvement of monitoring formats, dashboards and reporting tools
* Help identify recurring issues and propose process improvements


Workshop Relations & Team Support

* Manage complex follow-ups with suppliers when quotations or documents are incomplete or inconsistent, upon delegation by Fleet Managers
* Support and train new Fleet Assistants or junior profiles on best practices and tools


Profile

* Post-secondary qualification (Degree, Apprenticeship or professional training)
* Minimum 5 years of professional experience in a corporate environment
* Good knowledge of IT tools (Microsoft Office – intermediate level required)
* Strong organisational and service-oriented mindset; good interpersonal skills required
* English: Advanced level
