Job Title: PA / Technical Assistant
Key Responsibilities:
* Support Brownfield Projects Senior Leadership and the wider team.
* Serve as the first point of contact and representative of the management team of the Brownfield Projects & Decommissioning department.
* Manage diaries and schedules.
* Prepare documents and briefings for meetings, both internal and external, including collation of information.
* Provide full administrative support, including handling expenses, invoice payments, filing, contact database management, arranging meetings and hospitality, and other general admin tasks.
* Arrange international travel and accommodation for the management team, supported by full itineraries and necessary travel documentation.
* Prioritize conflicting needs proactively and efficiently.
* Draft agendas, emails, and correspondence for and on behalf of the management team as appropriate.
* Develop and maintain good working relationships with key internal and external stakeholders, including other executives and direct reports.
* Assist with office management tasks such as floor plans.
* Keep organizational charts and distribution lists up to date.
* Provide administrative support to the Project Management Team and management to organize key project delivery workshops and client meetings, e.g., DWOPs, Risk Reviews, Readiness Meetings, Quality Audits, Performance Reviews.
* Develop and maintain effective communication plans.
* Ensure excellent communication across service lines, ensuring message consistency.
* Manage action trackers for monthly Project Management sessions proactively.
* Support the administration of all employees and contractors.
* Assist with onboarding processes for new hires, including software access, SharePoint items, seating plans, and org charts.
* Participate in weekly recruitment meetings.
* Ensure smooth collaboration with other parts of the business.
* Support team with document setup, including PPT presentations.
* Assist with various other administrative tasks within the projects team.
* Support the creation of system training materials and organize drop-in sessions.
* Assist with office management.
* Provide admin support for Turus, including user support and project file management.
* Compile and communicate statistics and trends across recruitment, project performance, and other areas.
* Adhere to the Golden Rules of Safety and Petrofac Values.
Essential Qualifications and Skills:
* University degree or equivalent preferred.
* Attention to detail, highly organized, proactive, and a team player.
