Constituency Manager for Jon Burrows MLA
Jon Burrows MLA is recruiting for a Constituency Manager based in Ballymena & Stormont. The post is for 37 hours per week. The successful candidate would be expected to start at the earliest opportunity.
The role involves providing constituency services and support for Jon Burrows MLA, residents, businesses, communities, and groups within the North Antrim Constituency, as well as engaging with relevant stakeholders.
Responsibilities
* Oversee office and constituency operations, managing administrative staff to ensure smooth workflow.
* Develop and implement office policies and procedures to improve efficiency.
* Monitor and manage office budgets, including expenses and resource allocation.
* Manage the office team, maintain personnel records, and liaise with HR regarding contractual changes.
* Ensure health and safety standards and security measures are in place.
* Assist the MLA in preparing visits, events, questions, and motions.
* Liaise with constituency groups and the public on behalf of Jon Burrows MLA.
* Coordinate communication between Jon Burrows MLA and the political team, constituents, and media, including issuing local press releases.
* Prepare and edit correspondence, presentations, and other documents.
* Log and monitor casework, ensuring timely actions and follow-ups.
* Manage incoming emails, calls, and mail, maintaining confidentiality.
* Assist in preparing for meetings with agendas and briefs.
* Ensure readiness of relevant papers and information for engagement events or meetings.
* Coordinate office activities and resource allocation.
* Organise regular outreach surgeries in North Antrim, including venue booking and social media promotion.
* Maintain equipment for outreach surgeries.
* Develop a centralised events list for planning engagement opportunities.
* Manage grant opportunities efficiently.
* Utilise social media to promote constituency messages and updates.
* Advise Jon Burrows' researcher on constituency issues, including drafting questions.
* Liaise with government bodies, parties, media, voluntary sector, and constituents.
* Perform any other duties as requested by Jon Burrows MLA.
Skills and Qualifications
* Five GCSEs/O’ Levels or equivalent at Grade C or above, including English and Maths.
* Excellent written communication skills.
* Proficiency in Microsoft Outlook, Word, and Excel.
* At least two years’ paid experience in office administration.
* Experience working with diverse stakeholders to achieve outcomes.
* Previous experience working with the public.
* Ability to update and maintain databases.
* Experience handling sensitive information in line with GDPR and Data Protection laws.
* Knowledge of NI Assembly and local government processes.
* At least two years’ experience in policy or research roles, paid or voluntary.
* Experience managing budgets.
* Ability to meet targets and deadlines.
* Experience managing complex projects.
