The Office assistant will be based locally at our site office for the Havant Thicket Reservoir project. You will report to the Office Manager. Supporting the Office Manager in welcoming visitors and staff to site. Helping establish and maintain office procedures and General administration duties. Greeting visitors when they arrive Assisting with maintaining the signing in system Getting meeting rooms ready, with refreshments and lunch if required Managing meeting room bookings online and display a hard copy of timings Ordering lunch with caterer Helping to organise events on site, i.e.: Mental Health Day, Fitness Challenges, Cancer talks etc. Helping to organise all the social events, meals out, arranging summer BBQ and Christmas party Assisting in the Organisation of transport and accommodation if required Assisting in ordering stationery, some site equipment, and welfare equipment Managing coffee machines and water coolers assisting with ordering of supplies and arranging services for the machine Assisting with printer or copier issues as they arise. Assisting with the cleaning company and ensuring they adhere to their contract. Maintaining and ordering PPE for new staff General Admin Tasks – laminating, helping with security passes. Skills & Knowledge Time management Communicating with all staff levels and client in a professional manner Organisation skills Adaptability Creativity Experience Professional experience communicating with clients on the phone and in writing. Working with contractors and suppliers Experience of working in a large office environment Experience working with directors and top management. (desirable) Training Full driving licence Qualifications GCSE Maths & English (Desirable) Technology Microsoft, Word, Excel and Outlook Experience in creating and storing shared documents.
