Location: Glasgow This role will primarily provide support to two of the Bank's Agents, but you will also work in conjunction with the other Personal Assistants in the Devolved Nations Team. The role is varied, requiring good administrative and communication skills when interacting with businesses and organisations outside the Bank as well as colleagues in the Agency Network and elsewhere in the Bank. It offers opportunities to draw on your existing skills and for personal development. Role Description The role provides administrative, PA and event management support as one of a team, focusing on business contact meetings and events within a Team of three Agencies. The successful applicant will also have the opportunity to get involved with interesting and diverse work that spans the Agency Network, including in Working Groups. There are opportunities to grow and develop the role over time, according to an individual's skills and aspirations. The Agency for Scotland has an office in Glasgow; the Bank of England has flexible ways of working norms balancing in the office time and remote working from home. There is an expectation to come into the office to engage with the team at a minimum one day a week (note requirements might change as guidelines evolve). Responsibilities include: Arranging diary appointments, primarily with external business contacts, for two Agent diaries per FTE on average, including advising / deciding on who to visit. Making use of a Customer Relations Management (CRM) system to record and monitor intelligence gathering. Carry out business as usual (BAU) processes including updating contact information on the CRM system, updating the filing system and inputting qualitative and quantitative information collected as part of visits and events. Organising the logistics and briefing documents of policymaker visits, including arranging events, speeches and transport. Organising presentation and panel events, and managing related attendee lists, including online briefings. Attending and participating in team meetings to help plan and prioritise work. Being alert to, and suggesting, improvements to processes to help enhance the efficiency of our work. Work with the data scientists, research assistants and senior administrators to incorporate changes to processes and the use of technology. Monitoring the Agency's expenditure and producing budget reports where required. Monitoring the Agency's main email account. Providing support and cover for other Agencies when required, usually done remotely. Expenses for the Agents. Booking hotels and events. Office admin. A Personal Assistant may be selected to lead a peer group, representing the group in meetings with HODs and the Management Teams. A PA can get involved in a range of workstreams via membership of a Working Group. Minimum criteria Proven skills in organisation, prioritisation and time management, with an ability to manage multiple tasks simultaneously Be able to work autonomously with limited day-to-day management direction Have a good understanding of Microsoft Office Essential criteria: Ability to communicate effectively with external stakeholders, often senior business managers. Be a good team player Desirable criteria: Some experience of CRM would be an advantage Experience in arranging functions and events An interest in and some understanding of the economic and business issues in which the Bank is involved Some experience of data analysis and problem solving The Bank of England's Agency Network is seeking to recruit an experienced PA based in Glasgow. The Bank's 12 Agencies are grouped into 4 teams; this role is part of the Devolved Nations Team. The role is hybrid, with some working from home and most office work will be based in the Bank's Glasgow Hub. The role requires occasional travel to meet with the Devolved Nations Team colleagues from Belfast and Cardiff, or with other colleagues from the Agency Network around the UK.. Salary and Benefits Information The salary for this role is £25,760 - £28,980 per annum In addition, we also offer a comprehensive benefits package as detailed below: Currently a non-contributory, career average pension giving you a guaranteed retirement benefit of 1/80th of your annual salary for every year worked. There is the option to increase your pension (to 1/65th) or decrease (to 1/105th) in exchange for salary through our flexible benefits programme each year. The Bank has the discretion to vary standard accrual rates and dial up and dial down rates at any time and to withdraw dial up and dial down options at any time. A discretionary performance award based on a current award pool. An 8% benefits allowance with the option to take as salary or purchase a wide range of flexible benefits. 26 days' annual leave with option to buy up to 12 additional days through flexible benefits. Private medical insurance and income protection. National Security Vetting Process Employment in this role will be subject to the National Security Vetting clearance process (and typically can take between 6 to 12 weeks post offer) and the passing of additional Bank security checks in accordance with the Bank policy.
