Role Overview Clarification Please note that this role does not involve direct HR case management or advisory responsibilities. It is primarily focused on data management, system monitoring, and administrative support. HR-related issues are escalated to HR Officers for review and resolution. The role holder is responsible for accurate data entry, maintaining HR systems, and supporting reporting processes. Role Summary This role plays a key part within the HR department, providing essential day-to-day administrative support to ensure smooth and efficient operations across both site and office staff, where required. The position supports HR processes including onboarding, attendance tracking, compliance monitoring, employee data management, and general administrative duties across HR and site functions. The successful candidate will also assist with reporting, system updates, and ad-hoc tasks to ensure organisational policies and procedures are consistently followed across multiple regions. Key Responsibilities Administration & Employee Queries Monitor the HR inbox and respond to employee queries within defined response timeframes, escalating more complex matters to HR Officers as required. Manage queries received via the HR mobile line and log issues for escalation where necessary. Maintain and update employee records, including bank details, addresses, and Tax Identification Number (TIN) documentation, ensuring payroll systems are updated accordingly. Track and follow up on completion of new starter documentation for site staff, ensuring records are accurately maintained within HR systems. Attendance & Leave Management Monitor employee attendance across operations in Ireland, the UK, and Europe. Identify and flag attendance concerns or potential sanctions to HR Officers for action. Manage holiday and rotation requests in coordination with operational managers. Onboarding & Offboarding Issue onboarding documentation and maintain tracking systems for new site staff. Assist with training on internal systems. Create and maintain employee records within HR systems (e.g., BambooHR). Coordinate offboarding processes, ensuring accurate record updates and issuance of approved documentation. Data Management & Reporting Produce weekly data reports, including time-off schedules and leaver reports. Conduct regular audits of HR systems to ensure data accuracy and identify discrepancies. Maintain rotation trackers and provide accurate data to payroll to support timely processing. HR Support Functions Provide administrative support for visa processing and Tax ID applications in collaboration with the Global Mobility (GMOB) team. Support HR projects and provide ad-hoc administrative assistance and reporting as required. To succeed in this role, candidates should demonstrate: Strong organisational and administrative skills with a high level of attention to detail. Ability to manage multiple tasks and prioritise workload effectively. Excellent communication skills, with the ability to handle employee queries professionally and efficiently. Experience working with employee record systems and databases (e.g., BambooHR or similar HRIS platforms) Proficiency in Microsoft Office, particularly Excel and Outlook.
