Health & Safety Assistant
Reports to: Europe & Asia Senior Manager HSEQ
Monday to Friday 09.00 – 17.00
Overview
This is a hybrid role supporting both the Health & Safety function across Europe & Asia and USA.
This role includes conducting statutory health and safety checks at various sites across Europe, Asia and USA, scheduling and documenting health & safety activities for all sites, and ensuring all properties meet required health, safety, and operational standards.
The successful candidate will also assist the Senior Health & Safety Manager with the preparation of Europe & Asia ISO 9001 and ISO 14001 management meetings, and audit preparation across regional offices.
Key Responsibilities
Health & Safety & ISO Management
1. Support the implementation of health and safety policies and procedures across Europe, Asia and USA.
2. Participate in regular safety inspections and risk assessments to identify and address non-compliance.
3. Maintain accurate and up to date health and safety records on a monthly basis for Europe, Asia and USA.
4. Assist in ensuring compliance with health and safety regulations, including annual audits and Fire Risk Assessment for Europe & Asia offices.
5. Monitor and track action plans resulting from internal and external audits to ensure timely completion.
6. Respond to general health and safety enquiries and investigate concerns raised.
7. Provide administrative support to the Senior Health & Safety Managers for Europe & Asia and North America.
8. Ensure completion of internal ISO and health & safety audits for Europe & Asia, collaborating with Facilities management and Senior Managers to coordinate local procedures and environmental processes, ensuring minimum compliance standards are met.
9. Investigate all accidents in consultation with the Senior Health & Safety Managers and Facilities Management and assist in reviewing accident investigation forms to ensure remedial actions are implemented.
10. Work with Senior Health & Safety Managers and external advisors to conduct health & safety audits for London Madrid, Berlin, Brussels and India Offices.
11. Assist in developing and managing internal audit and measurement tools and implement structured reporting systems for ISO 9001 and ISO 14001 for Europe.
12. Manage relationships with external contractors and support staff and contractors in complying with health & safety legislation, client standards and contractual agreements across Europe, Asia and North America.
13. Prepare and present ISO reports and performance data for Health & Safety Senior Manager
14. Support local Office Managers that all regulatory ISO data and documents are well maintained and up to date.
Facilities - Remote Support for Leeds & Birmingham employees
15. Assist the Health & Safety Manager with regular risk assessments, safety checks, and annual inspections of equipment maintenance and servicing.
16. Update and record facilities issues regularly on the shared facilities log sheet.
17. Raise purchase orders and verify invoice details for health & safety suppliers.
18. Support remote workers with access to the IWG App (external serviced office provider), maintain and update the employee access list, and review the monthly on-demand option by creating and updating a simple data sheet.
Requirements
19. Proven experience as a Health and Safety Assistant or similar role min. two (2) years.
20. Must have occupational Knowledge of health and safety regulations and procedures.
21. Must have In-depth knowledge of ISO 14001 & 9001 requirements.
22. Self-motivated; works independently.
23. Strong communicator who can influence senior management.
24. Capable in emergency situations.
25. Skilled in Microsoft Office (Outlook, Excel, Word, PowerPoint & SharePoint).
26. Occupational Health and Safety certification preferred.
27. Audit experience and understanding of audit processes.
