Role Description

This full-time on-site Administrative Assistant role is based in London. The Administrative Assistant will handle day-to-day tasks to support our growing project management team. The candidate will primarily be responsible for conducting administrative tasks on projects and across the project management department. The role is hybrid, though we anticipate office presence 2-3 days per week, with typical hours running from 9.30 to 5.30, and we offer a very generous annual leave package and wider benefits.

Key Responsibilities

* Respondent profile checking.
* Incentive payments.
* Sending out calendar invites.
* Adding screener details from user/respondent platforms to grids, as well as transferring information to relevant documents.
* Checking data and project updates to ensure fieldworker shifts have been completed and recruited interviews have gone ahead.
* Calling interviewers and fieldworkers to check progress.
* Process interviewer applications.
* Assist with onboarding of new fieldworkers/interviewers.
* Set up tablets.
* Support dispatch activities.
* General office administration, including placing orders for office supplies
* Process incoming and outgoing post
* Willingness to work outside of normal working hours when circumstances require.
* Respondent Management: Handle daily scheduling, organizing appointments/interviews, and maintaining filing systems.
* Communication: Supporting the project manager as the first point of contact for internal communications, answering phone calls, and responding to emails professionally.
* Documentation: Prepare documents, summaries, and correspondence, ensuring accuracy and adherence to company
standards and client requirements.
* Support Staff: Assist managers and employees with administrative tasks, including travel arrangements, expense tracking, and project coordination.
* Data Management: Maintain databases, perform data entry, and ensure proper documentation procedures are followed.

Required Skills and Qualifications

* Organizational Skills: Strong ability to manage multiple tasks, prioritize effectively, and maintain attention to detail.
* Communication Skills: Excellent written and verbal communication skills to interact with colleagues and clients effectively.
* Technical Proficiency: Familiarity with office software such as Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace.
* Problem-Solving: Proactive approach to identifying issues and implementing solutions to improve office efficiency.
* Experience: Previous experience in an administrative role is often preferred, or within the market research industry.
