Within Care and Rehabilitation Services, the philosophy of our prisons is to rehabilitate offenders and equip them to re-integrate into mainstream society upon release. We aim to normalise prison conditions as much as possible to reflect life outside, creating an environment where staff and prisoners feel safe and stressors are minimised. Central to our approach is the relationship between staff and prisoners, emphasizing dignity and respect. G4S staff build positive, supportive relationships with prisoners. HMP & YOI Parc houses 1,038 convicted male adult prisoners, remand and convicted young offenders, in a secure, modern environment.
An opportunity has arisen for a suitable candidate to provide Administrative Support to the team at HMP Parc. The successful candidate will assist in the smooth operation of the residential area by offering effective administrative support and handling related issues.
Key Responsibilities
* Update and maintain databases/spreadsheets for various activities
* Compile paper documents and scan them to secure online files/databases
* Build and prepare paper/electronic documents for operational and resettlement purposes
* Manage daily mail for the YPU
* Compile, produce, and distribute monthly and quarterly reports and statistics to stakeholders
* Coordinate operational and resettlement meetings, including agendas and minutes
* Disseminate communications to young people, YPU, and staff via email and databases
* Maintain, close, and archive young person files electronically and physically
* Act as front of house for the Young Person’s Unit, handling communications from external agencies and families
* Coordinate online booking systems for visitors
* Administer resettlement systems and databases per national standards
* Relay information between internal and external stakeholders
* Manage room booking systems for interventions and meetings
* Process orders, maintenance requests, applications, complaints, and safeguarding referrals
* Undertake internal assurance reports
* Provide administrative support to the Head of Young Person’s Unit, senior managers, and staff
* Cover for other Residential Administrators as needed
* Attend training courses as directed
* Support specific areas as part of ongoing action plans
* Perform other management admin tasks as assigned
The Ideal Candidate:
* Excellent communication skills and organization in managing tasks
* Proficient in Microsoft Office and Google systems
* Experience working in a busy, pressured environment
* Ability to work independently and as part of a team
* GCSE Maths and English (A–C) or equivalent
* Knowledge of the criminal justice setting or custodial environment
* Experience in administrative or business support roles
* Higher qualifications in computing/IT
