Purpose of the Role Working closely with the STFC VES Project Support team, this role will provide administrative and project management support to the Project Leads and HR Senior Business Partnering Team, primarily assisting with the Voluntary Exit Scheme, while also supporting other HR tasks as required. This role will help ensure smooth project execution, efficient stakeholder engagement and effective risk management. The role is busy and varied, with key activities required so organisational and prioritisation skills are essential. Key Responsibilities Project Coordination and Support Assist in the tracking and maintenance of project plans for the VE Scheme and other HR-led projects, as appropriate. Monitor progress against key milestones, escalating risks and delays to the VE Project Support Team. Support the coordination of those responsible for key tasks to ensure timely delivery. Prioritise workloads and meet deadlines as required. Administrative Support Schedule and coordinate meetings etc related to the VE Scheme and other HR activities, as appropriate. Maintain accurate records, meeting minutes and action logs to ensure accountability and delivery. Manage documentation, correspondences and data tracking ensuring we remain compliant at all times. Assist in preparing staff communications, briefing papers and guidance materials. Handle and manage confidential data. Stakeholder Engagement and Communication Facilitate timely responses to employee queries, ensuring clarity and consistency in communications. Maintain VE shared mailbox, ensuring employee queries are dealt with in a timely manner and escalate to appropriate person / team if necessary. Build positive relationships with colleagues and liaising with other external organisations as appropriate. Risk and Issue Management Identify potential risks and bottlenecks, ensuring they are escalated to the Project Leads and HR Senior Business Partners and addressed proactively. Maintain a risk register, ensuring ongoing risk assessment and mitigation. Support post-implementation reviews, capturing lessons learnings and best practices for future initiatives through a Continuous Improvement Lens. Person Specification Experience in an administrative and customer-focused role. Good written communication skills and attention to detail. Ability to construct grammatical and clear emails, meeting notes and draft simple reports, producing clear and accurate work. Excellent verbal communication and interpersonal skills. Proven track record of working within a busy team and in challenging situations. Proactive and customer focused, with a 'can do' attitude. Excellent organisational skills. Well-motivated and capable at times of working under pressure. Discreet and diplomatic.
