About You
You are a smart and dedicated person, with a passion for process, analytics, monitoring and making strong decisions based on statistics.
You will have built knowledge of how the supply chain (demand planning, inventory analysis and purchasing) processes of a haircare and cosmetics business work.
Working closely with internal members and the Operations Manager as well as external members (suppliers, our lab, freight forwarders warehouse), you will support the company in production planning, ensuring our inventory levels are optimised in order to supply our customers (B2B and B2C).
Your responsibility will be to take ownership of the end-to-end supply chain operations, including forecasting, planning, purchasing, and inventory control.
The purpose of this role is to:
1. Manage end to end inventory from production to warehouse receivings;
2. Manage demand and supply through inventory planning and production timelines and incoming inventory.
Key Responsibilities
Demand Planning and Forecasting
* Understand the production and shipping lead times and processes of our entire product range
* Daily stock forecast analysis to ensure optimum stock levels
* Develop and maintain SKU level statistical forecasts by retailer / channel on a 12-month rolling horizon using historical sales trends, demand drivers and market intelligence
* Assess actual product performance vs. targets and relay findings; reconcile significant variances and run root cause analysis to ensure forecast adjustments are made.
* Support new product launch activity through the development of needed forecasts for initial inventory as well as forecast scenarios for replenishment.
* Ensure consistency of forecast assumptions across the business unit, including base business trends, promotional plans, new launch volumes and seasonal volumes.
* Review historical sales trends from our customer platforms, research demand drivers, prepare forecast data, develop statistical forecast models, and evaluate forecast results.
* Work with the Operations Manager to improve our forecasting models.
Purchasing
* Ensure that based on the stock forecast, we have enough products to cover our safety stock level and that we have enough incoming goods at any given time to supply future demand from B2B and B2C orders. The goal is to minimise stock outs.
* Actively monitor inventory levels in our warehouses, including incoming stock deliveries from suppliers, new stock items, and informing customers, retailers and the team about out-of-stock items. Communication is key.
* Based on your demand planning analysis, inform and provide recommendations to the Operations Manager for them to raise purchase orders for products, components and warehouse items to prevent stock outs
* Conduct regular stock counts and reconcile stock discrepancies to keep an accurate count of components and finished goods using our warehouse management system.
Inventory
* Monitor and manage inventory
* Periodically review and update Bills of Materials
* Draft comprehensive inventory management reports
* Oversee production processes, ensuring quality and timeliness
* Conducting regular stock checks, maintaining and updating the stock level in our ERP system
Other
* Anticipate and address potential supply chain challenges before they occur, and work with the appropriate parties to mitigate problems when possible.
* Risk Management: Identify and mitigate potential disruptions in the supply chain for events like political instability, or raw material shortages.
* Work with the Logistics manager to: Evaluate vendor operations (e.g. freight forwarders) according to quality standards, Discover the most cost-effective shipping modes and schedules, Plan and implement supply chain optimization projects (e.g. warehouse-slotting, route planning).
Reporting and Communication
Updating our Operations Manager and customer service team on:
* Statuses of shipments and inventory statuses
* Any operational issues with the warehouse, suppliers, third-parties
* During team meetings of PO and order status, elevate concerns urgently as it relates to timing delays, informing wider team of delays
* Make recommendations to the Operations Manager for new orders based ondemand analysis
Monthly reporting on:
* Preparing insightful supply chain reports
* Monthly COGS and Stock on hand reports for our accountant
Skills & Experience
* Qualification in supply chain/management or similar
* 4-5+ years of supply chain working experience (retail and consumer logistics, demand planning experience is a bonus)
* Experience with exporting and importing
* Supplier management required
* FMCG/Cosmetics experience
* Warehouse management or ERP software (or similar application)
* Proficiency in demand forecasting software and tools
* Intermediate to advanced Microsoft Excel skills (Bonus: experience using sumifs/pivot tables/VLOOKUP’s/HLOOKUP’S)
* Strong organisational skills and the ability to manage multiple tasks simultaneously

Salary range: 34,000-40,000
