Overview
The Plastics and Burns Trauma Receptionist role at North Bristol NHS Trust supports the Plastics Trauma Coordinator and broader team with reception cover and administrative tasks for the Plastics and Burns Trauma Service at Southmead Hospital. Responsibilities include creating referrals, booking patients into clinics, and ensuring outpatient details are correctly recorded in line with BNSSG ICB Policies. Successful applicants will be part of a clinical team, working with colleagues, staff in other departments, GPs, patients and the public. The role requires teamwork and the ability to use initiative to provide administrative support within the Plastic Surgery team to deliver a high-quality service.
Contracted hours are 21 per week, with shifts allocated on a rota a minimum of 6 weeks in advance. Successful applicants should be available to work 3 shifts per week, Monday to Sunday, 08:00–15:30.
Responsibilities
* Support the Plastics and Burns Trauma Coordinators as part of a clinical team, ensuring patients are diagnosed and treated in line with national guidelines and the trust’s Patients Access Policy (including NHS Constitution, emergency care, and DoH admission guidelines and booking rules).
* Book clinics in advance and verify patient details; schedule new or follow-up outpatient appointments; ensure all paperwork is completed for each appointment and that emergency attendances and outcomes are accurately recorded in the appropriate PAS systems.
* Handle enquiries from service users in a helpful, courteous and diplomatic manner; maintain patient confidentiality at all times.
* Maintain regular communication with consultant teams, clinical staff and directorate management to enable efficient processes.
* Answer telephone enquiries, relay messages, and take appropriate action; respond to enquiries from patients, GPs and community hospitals.
* Provide cover for colleagues during periods of planned annual leave and sickness; undertake additional administrative tasks as required by the line manager.

The Plastic and Burns Trauma Service is fast-paced and busy; team working is essential, and reception coverage is required 7 days a week to support Coordinators and clinical teams. Depending on applicants, several colleagues may cover these hours. You must be a team player, able to use your own initiative, and be prepared to take on additional tasks or cover for other services as required.

Education/Training/Qualifications
Essential criteria: GCSE or equivalent
Desirable criteria: Basic understanding of outpatient booking processes and/or NHS
Work Experience
Essential criteria: Experience of working as part of a multidisciplinary team and ability to demonstrate good patient care skills
Desirable criteria: NHS experience or similar; prior outpatient and/or clerical experience
Knowledge/Skills/Abilities
Essential criteria: Excellent verbal and written communication skills; ability to develop good working relationships with team, colleagues and staff; flexible to meet service needs
Personal Qualities/Special Circumstances
Essential criteria: Willingness to learn new IT systems; enjoy working in a busy department; team player, helpful and willing to assist other teams
