Customer Service Specialist Position Summary The Customer Service Specialist will be responsible for managing advanced functions within Gowan’s Customer Service Team. The role includes overseeing sales coordination and ensuring compliance with government regulations. The Specialist will serve as a key resource for Gowan Sales professionals, external customers, and internal Supply Chain and Finance teams. This position requires advanced problem-solving abilities, excellent communication skills, and attention to detail. Additionally, the Specialist will act as a backup to other Customer Service Specialists when needed. Department: Customer Service Reports To: varies by location Location: Duties And Responsibilities Manage all phases of order processing, including order entry, printing bills of lading, and invoicing. Utilize Gowan’s ERP system, “Enterprise One,” for all necessary transactions. Ensure all documentation is accurate and compliant with US regulations, maintaining proper recordkeeping. Communicate with sales representatives regarding customer calls, product movements, and other relevant matters. Select transportation carriers for deliveries and collaborate with third-party logistics providers. Work closely with Production Planners and the Demand Manager for informed decision-making. Organize stock transfers and manage inventory staging at distribution centers. Conduct monthly inventory reconciliations and manage damages and aging inventory at responsible warehouses. Collaborate with product development teams to address complaints and manage replacements. Track special programs managed by Product Managers, including allocations. Prepare various reports such as sales, forecasts, and other requested documents. Assist the manager in maintaining mailing lists for recipients and providing additional departmental support. Required Knowledge, Skills, And Abilities Proficient computer skills, including Microsoft Office, ERP systems, and other business software. Strong oral and written communication skills. Ability to manage multiple urgent tasks simultaneously. Willingness to collaborate and work with a diverse range of individuals. Highly organized, self-directed, and motivated. Capability to perform analytical logistics duties. Positive attitude toward learning and process improvement. Required Qualifications Bachelor’s degree in Business Administration, Supply Chain Management, Applied Business Economics, or Operations Management is preferred. Experience working with freight forwarders and transportation providers. Fluency in a second language is preferred. Successful candidates will be required to provide proof of legal work authorization in the US. Physical Demands Ability to work office hours from 6 am to 3 pm, or 7 am to 4 pm during daylight savings time. Capable of working for extended periods at a computer workstation. Ability to travel and visit third-party logistics (3PL) warehouses for auditing purposes. Work in a fast-paced office environment. Infrequent travel, with approximately two trips per year for regional meetings and warehouse audits.
