Job summary
To provide a comprehensive high level, efficient, accurate and prompt administrative service to all stakeholders by assisting in the smooth running of the service.
As a member of the Administration Team, a flexible approach to the post is essential to enable prioritising the different workloads and duties.
Excellent communication and interpersonal skills are required to carry out duties with tact, diplomacy and sensitivity. Make sound decisions and judgements using initiative and level of authority as agreed with Line Manager.
Knowledge and understanding of the structure, policies, management and operational procedures within the department and the Health Board as required in order dealing with internal and external enquiries in a competent and confident manner.
Main duties of the job
Correct and accurate use of WPAS, including use of registration and outpatients screens
To maintain case notes in the department in good condition and repair damaged notes as and when required.
Compile case notes for new patient attendees at clinic.
Collect and distribute patient case notes or urgent items manually when required to and from other areas of the hospital.
Retrieve and return hospital case notes from other departments within the hospital as and when requested by the medical staff
Data inputting duties such as patient activity.
Assist the Administrator in the general day to day running of the administration office
To be competent with the use of, data processing, spreadsheets, Health Board Internet, E-mail, photocopiers and laminators
To undergo any relevant training to the job role, including mandatory training e.g. fire, manual handling, and keep competencies and skills up to date.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
