We are currently looking for an Office Administrator to join our busy Business Support team in our brand new Newport office. Working within our passionate team, you’ll report to the Head of Department and be responsible for providing excellent client service and comprehensive administrative support to team members.
Role Responsibilities
To provide efficient and reliable administrative support to ensure the smooth day-to-day running of the Newport office. The Office Administrator will handle a range of general office tasks, including document handling, data entry, filing, and coordinating office supplies and communications. The role supports the wider team by maintaining organised systems and contributing to a professional and productive working environment.
Responsibilities include, but are not limited to:
* Handling all incoming telephone calls, logging calls, and conveying messages to colleagues.
* Distributing incoming post and deliveries; coordinating outgoing post and deliveries.
* Taking card payments in person and over the phone in accordance with company procedures.
* Coordinating incoming faxes and emails using the firm’s IT system, and undertaking typing and photocopying tasks as required.
* Managing filing systems, including daily filing, and the opening, closing, archiving, storage, and retrieval of client files, in accordance with company procedures.
* Ensuring the confidentiality of all practice and client documentation and information.
* Managing stock control, including inventory for cleaning products and refreshments.
* Undertaking general office tasks as needed.
* Performing other reasonable administrative/secretarial duties as required by management.
Job Requirements
The ideal candidate will have proven experience and a professional, client-first approach. They should possess sound knowledge and expertise in administrative support, exceptional attention to detail, and the ability to communicate professionally and confidentially. The role suits those with a positive, flexible attitude and the ability to remain calm under pressure, reflecting the ethos of the firm.
Requirements include:
* Previous experience in an administrative or office support role, preferably within a legal or professional services environment.
