Overall purpose of this role
To use initiative and take responsibility for providing full and efficient coordination and administrative support to the partner and the team.
This involves proactively managing non-legal work, organizing case files, overseeing diaries, drafting documents, liaising with internal and external contacts, and providing organizational support.
Main Duties and Responsibilities
1. Providing expertise in Microsoft Word, Excel, PowerPoint, and relevant software, including document management systems.
2. Liaising with clients, barristers, solicitors, experts, courts, and others to arrange meetings and exchange information.
3. Ensuring data protection obligations are met concerning client confidentiality.
4. Leading compliance with Lexcel and other standards.
5. Managing team members' schedules, diaries, meetings, and bookings.
6. Handling new client enquiries via telephone and email.
7. Managing electronic files on Liberate, including filing, updating case information, and closing files.
8. Managing paper files, including filing, sorting evidence, and records.
9. Producing documents, correspondence, minutes, and notes.
10. Assisting with document bundling for court cases.
11. Arranging team travel, including flights, hotels, budgets, and risk assessments.
12. Archiving files and managing file storage efficiently.
13. Distributing post and managing photocopying tasks.
14. Handling incoming calls and messages.
15. Scheduling meetings for senior staff and management.
16. Promoting teamwork and offering support as needed.
17. Performing ad-hoc duties as required.
Training
* Ensure adequate training in role-related areas to deliver high-quality support.
* Support team members in technology use.
Essential Experience
* Interest in working with a leading claimant law firm and commitment to access to justice.
* Experience in administrative roles supporting teams.
* Strong communication skills, both verbal and written.
* Proficiency in IT, especially Word, Excel, and database use.
* Internet research skills.
* Experience handling sensitive client situations professionally.
