3 days per week Working Conditions: This is a remote position that includes necessary travel to our offices in Oxford and other event locations. The role requires flexibility with hours, including occasional evening and weekend commitments, particularly during the lead-up to events. Responsibilities: Event Planning and Execution: Develop detailed plans for each event, including timelines, staffing, and required actions for success. Manage day-to-day operational tasks including scheduling and monitoring project milestones. Guest Management: Handle the creation and upkeep of guest lists, oversee the sending of invites and the management of RSVPs, and coordinate on-site guest services to enhance attendee experiences. Logistics: Ensure all resources such as venues and materials are arranged beforehand. Manage relationships with vendors, and coordinate logistics from transport to accommodation for staff and guests. Financial Management: Keep a strict watch on budgets, process invoices, and handle payments while keeping comprehensive financial records. Stakeholder Engagement: Regularly update internal and external stakeholders on event progress and any changes. Maintain thorough records of all communications and event details. Post-Event Review: Gather feedback, analyse event effectiveness, and conduct debrief sessions with stakeholders to integrate learnings into future event planning. Candidate Profile: Proven background in event planning and project management, particularly within charity environments. Excellent organisational and administrative capabilities, able to handle multiple projects simultaneously under stringent deadlines. Proficient in managing complex guest lists and dynamic invitation processes. Exceptional communication and interpersonal skills for liaising with diverse stakeholders. Familiarity with project management software and tools, especially those related to event and guest list management. Must be adaptable to frequent travel and flexible hours, including additional hours as needed around event dates.
