The Role: We are looking for a polite, flexible and friendly individual to join our established reception team as an FM Assistant. This front of house role means that you will be, in the majority of cases, the first person most people meet when they visit, and the team prides itself on making people feel welcome in a fast-paced environment. Being part of a professional team, you will deliver excellent customer service to staff and visitors across the Castle complex, which boasts two receptions and several buildings locally, thus providing a variety of duties and environments for the successful candidate to flourish in. Daily tasks for the team include (but not limited to) being the first point of contact for those visiting the site, arrange for visitors to be collected or direct to meeting rooms and assist with queries, whether at the HQ or in our Training Venue for the complex. Accurately record information in line with procedures, respond to telephone calls in a professional manner and ensure meeting rooms are set up appropriately. Teamwork is also an essential requirement of the role, enabling the team to be robust in delivering an outstanding level of customer service. What you’ll do: Open/close reception sites daily Be the first point of contact for those attending site and deal with the situation in a professional manner Support the team to achieve common goals and be flexible to support wider FM functions during busy periods Follow instruction and ensure procedures are always followed Operate a pop-up café at the training venue Ensure rooms are set up correctly, this includes the movement of furniture Use a variety of systems daily to book meeting rooms, capture information and record it, respond to emails and communicate with staff effectively using a variety of communication channels. Provide support to the FM Officer What we’re looking for: We’re looking for someone who is confident, dependable, and experienced in a similar role. You’ll be a strong team player with proven skills and a genuine commitment to excellent customer service. With good levels of English, your communication skills will help you build positive relationships with a wide range of stakeholders and handle situations professionally and effectively. You will have good organisational skills and have a flexible approach to be able to respond positively when faced with challenges. Have tact, to be able to support and communicate in various scenarios/settings, tailoring your approach accordingly, but also recognise when you may need support. You will have sound IT skills and a willingness to learn new systems and processes. The role can be very demanding during peak periods, with flexible working necessary to support other Facilities Management Teams as and when required. Due to the duties involved in this role, you will need to be able to fulfill the moving/handling requirements. The working week is 37 hours, Monday to Friday. The successful candidate must be available to support the working hours of all sites (including any future development of local sites), between 0730-1800, a varied shift pattern is in place to support these hours. There is also the opportunity for overtime in the evening and at weekends to support out-of-hour events.
