The Role We are seeking a reliable and organised Administrator / Healthcare Administrator to join our team. The role is vital in ensuring the smooth operation of office and clinical services, including client support, appointment management, and record-keeping. This is an exciting opportunity to develop professional expertise in occupational health administration while contributing to the efficiency and effectiveness of the team. Key Responsibilities Serve as the first point of contact for clients and staff, providing a professional, courteous, and supportive service. Manage daily office operations, including answering phone calls, responding to emails, and handling correspondence. Maintain accurate and up-to-date client and clinical records in accordance with GDPR and confidentiality requirements. Perform timely data entry and ensure secure storage and retrieval of electronic and paper-based records. Utilise Microsoft Office and Google Workspace applications to produce and manage documents, spreadsheets, and reports. Provide general clerical and administrative support, including preparing correspondence, reports, agendas, and minutes. Assist with basic financial administration such as billing and invoicing as required. Coordinate office supplies and liaise with suppliers and service providers where necessary. Handle incoming and outgoing mail and packages, ensuring confidentiality and appropriate distribution. Support colleagues and management to promote efficiency and effective teamwork. Uphold compliance with GDPR and data protection policies. Participate in training and supervision relating to duty of care, confidentiality, and professional standards. Essential Criteria Applicants must demonstrate that they meet the following criteria by the closing date: At least two years proven experience in an administrative or office role, preferably within healthcare or occupational health. Proficient in Microsoft Office (Word, Excel, Outlook). Strong organisational, time-management, and communication skills. Knowledge and understanding of GDPR and the ability to handle sensitive information with discretion. Minimum of five GCSEs at AC grade including English, or equivalent administrative qualification (e.g., NVQ in Business Administration, RSA/OCR in Work Processing). Positive, proactive, and able to work independently as well as part of a team. Desirable Criteria Experience in healthcare or occupational health administrative systems. Knowledge of digital clinical record-keeping systems. Experience coordinating appointments or office scheduling.
