Foundation Programme Co‑ordinator

This post is for a period of 12 months, to cover maternity leave. The current FP admin team consists of 3 full‑time staff: the FP Admin Manager and two Foundation Programme Coordinators.

The Medical Education department is responsible for the provision and quality control of the Foundation Programme to meet national requirements for training, with the purpose of improving standards of patient care. The postholder will fulfil a key administrative role within the Foundation Programme admin team, based with the Education Centre at Sunderland Royal Hospital. There will be an occasional requirement to work at South Tyneside Hospital to assist with the delivery of teaching and training sessions and occasionally attend events off‑site.

The postholder will provide comprehensive day‑to‑day support and administration to training programmes and will support the Foundation Programme Tutor, Medical Education Manager and Foundation Programme faculty in the delivery of Foundation Programme education to the Foundation Programme doctors and will ensure the competencies are delivered appropriately.

The admin office operates between 08:30hrs – 17:00hrs. Hours of work are flexible and there is an opportunity, once fully trained, to work from home.


Main duties of the job

* Take liaison with internal and external colleagues to ensure the successful and effective delivery of Foundation Programme teaching and training.
* Take liaison with all appropriate internal and external agencies and stakeholders to gather data and inform service development.
* Identify issues promptly, problem‑solve within remit and, where necessary, raise to line manager.
* Ensure the effective and timely communication of relevant information to FP doctors.
* Provide initial support, guidance, and sign‑posting to doctors presenting with a wide range of issues.
* Support the timely production/availability of Foundation doctor induction.
* Provide a full administrative service with regards to meetings, including set‑up and note‑taking.
* Coordinate and facilitate all Foundation Programme training‑related meetings and events, including the production and circulation of agendas and papers.
* Respect the confidentiality and sensitive nature of communication, maintaining a professional and pastoral approach.
* Support the effective operation of the Foundation Programme portfolio process.
* Assist the FP faculty and FP Admin Manager to meet reporting deadlines.

Job responsibilities

Administrative role responding to the requirements of managing the administration of the postgraduate trainees. Responsible for day‑to‑day provision of specialised administrative support in respect of postgraduate education.

Key member of the Medical Education Team with specific responsibility for the administration and coordination of a group of graduates at the Trust.

Works closely with the postgraduate administrative team, Postgraduate Manager, Director of Medical Education and Medical Education Manager and other senior professionals, promoting the postgraduate department's work alongside other key stakeholders.

Exercises a high degree of independent judgement and initiative. Essential skills include the ability to set up and run office systems, originate work, forward‑plan and problem‑solve.

Serves a key administration role to ensure the delivery of an effective medical education service to the highest quality and standards in line with the Trust, GMC and Health Education England requirements.


Qualifications

* Minimum of NVQ Level 3 in an administrative or equivalent qualification, with at least 2 years’ experience in an administrative/secretarial role.
* IT qualification.
* Demonstrable knowledge of Microsoft Office (Word, PowerPoint, Excel).


Experience

* Experience of working successfully as part of a multi‑professional team.
* Knowledge of full range of administrative procedures.
* Ability to work with spreadsheets in Excel to manipulate data and present reports in a range of formats.
* Competence in minute‑taking at complex high‑level meetings.
* Evidence of continuous management development through acquisition of knowledge.
* Experience of working within a large, complex organisation.
* Experience of complex data analysis.


Skills and Knowledge

* Excellent communication skills across a wide range of stakeholders.
