Position Overview
Due to an internal promotion, the HR Department is currently seeking an HR Administrative Assistant. This full-time role involves providing administrative support for the city’s human resource functions.
Examples of Duties
* Answering phones and greeting visitors; responding to inquiries; scheduling meetings and appointments; directing questions to appropriate personnel.
* Entering new hire information; creating and issuing employee ID badges; assembling and filing new employee personnel folders.
* Completing and transmitting child support reports.
* Preparing bi-weekly reports for the Board of Commissioners regarding personnel actions and uploading them to the agenda center.
* Completing and disbursing accrual balance reports.
* Maintaining and updating calendars.
* Entering data for yearly salary increases.
* Coordinating the annual city charity campaign.
* Processing employee change requests via paperwork and online forms.
* Assisting with employee training registration, tracking, and distribution.
* Processing purchase orders for invoices and pension payouts.
* Managing agreements and documents through Docusign.
* Preparing correspondence and memoranda; copying documents as needed.
* Retrieving, sorting, and distributing mail.
* Maintaining office supply inventory and reordering supplies as needed.
* Managing department files and records, including evaluations, website content, and other documentation.
* Performing related duties as assigned.
Minimum Qualifications
• Completion of specialized training in the field, along with basic skills typically acquired through a high school education.
• Sufficient experience to understand the principles relevant to the duties, usually gained through an internship, apprenticeship, or 1-2 years in a similar role.
