About Us:

We are a progressive financial advisory firm based in the heart of London, committed to delivering bespoke financial planning and investment advice to individuals, families, and SMEs. As we continue to expand, we seek a motivated individual who is eager to begin a career path toward becoming a financial adviser. We invest in our team's professional development and will fully fund the relevant industry exams and qualifications, including the CISI or Chartered Insurance Institute (CII) certifications.

Role Overview:

As a trainee adviser, you will be the first point of contact for our clients, providing daily operational support to our advisers and contributing to exceptional client service. You will also be responsible for ensuring a seamless experience both in person and virtually. You will be supported by handling day to day client administration, maintaining the CRM, preparing meeting materials, and assisting with basic paraplanning tasks. Over time, you will gain exposure to deeper paraplanning responsibilities, client interaction and work towards industry qualifications to progress into a financial Adviser role.

Key Responsibilities:

Client Engagement & Administration

* Act as the main liaison for routine client inquiries (via phone, email, or in person), triaging requests and ensuring timely follow up.
* Schedule and coordinate client meetings both in office and virtual, including room bookings, video conferencing links, and pre meeting briefing materials.
* Draft, proofread, and send welcome letters, client confirmations, and meeting reminders to maintain professional consistency.

Meeting Preparation & Note-Taking

* Attend client review meetings and internal advisor discussions; take accurate, structured minutes highlighting key action points, deadlines, and follow up items.
* Prepare pre-meeting documentation: client fact finds, risk profiles, simple cash flow summaries, and product provider literature as requested by paraplanners/advisers.
* Upload and file meeting notes, client documents, and research outputs into the firm's document management system.

CRM & Data Management

* Maintain the client relationship management system by creating new records, logging interactions, and flagging outstanding tasks or follow-ups.
* Run basic CRM reports (e.g., upcoming review dates, lapsed clients, client segments) and distribute findings to the advisory team for follow-up.
* Cleanse and update client data, ensuring compliance with GDPR and our internal data governance policies.

Paraplanning Support

* Assist paraplanners by gathering illustrations, product research, and provider fact sheets for straightforward client queries (e.g., cash savings options, basic investment fund information).
* Populate template-based cash-flow models or simplified suitability report drafts under supervision, gaining familiarity with key financial planning assumptions.
* Liaise with product providers (pensions, ISAs, investments, protection) to request quotations, policy documents, and application forms as needed.

General Office & Operational Duties

* Support email triage for shared inboxes, categorise incoming mail, and draft routine responses for adviser approval.

Continuous Learning & Exam Preparation

* Enrol in and prepare for industry exams (e.g., CII/ CISI, Diploma in Regulated Financial Planning), attending study sessions and completing revision assignments in coordination with senior paraplanners/advisers.
* Complete internal training modules on compliance, risk assessment, and product fundamentals as part of your professional development plan.

Required Qualifications & Skills:

Strong Interpersonal Skills:

* Excellent verbal and written communication; comfortable speaking with clients in person, on the phone, and via email.
* Professional, courteous demeanour, able to build rapport and trust with clients of diverse backgrounds.

Attention to Detail & Organisation:

* Proven ability to manage multiple tasks simultaneously (calendars, emails, CRM updates) with minimal errors.
* Demonstrated track record of producing clear, concise meeting notes and following up on action items promptly.

Basic Numerical & Analytical Aptitude:

* Comfortable with simple calculations, data entry, and interpreting straightforward financial figures (e.g., interest rates, percentages).
* Proficient with Microsoft Excel (e.g., sorting/filtering data, basic formulas) or Google Sheets.

Tech-Savvy & Quick Learner:

* Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint)
* Experience with CRM platforms or the willingness to learn new systems quickly

Team Player with Proactive Mindset:

* Can work collaboratively with paraplanners, financial advisers, and compliance teams while also taking initiative to identify process improvements.
* Eager to learn about financial planning, with a long term interest in progressing toward a paraplanner or adviser role.

Professional Discretion & Confidentiality:

* Demonstrated integrity when handling sensitive client information and financial data; strict adherence to GDPR and FCA guidelines.
* Ability to manage both in office and home environments securely, using encrypted laptops and VPN when handling confidential materials.

Eligibility to Work:

* Must be based in the UK and have the right to work in the UK without sponsorship.

Desired (Nice-to-Have) Skills & Experiences:

Educational Background in Finance/Business/Economics:

* A degree (or equivalent experience) in finance, business, economics, or a related field, although not essential, signals familiarity with financial terminology.

Customer Service, Sales, or Administrative Experience:

* 1-2 years of previous roles in banking, financial services, or professional services where you interacted with clients and managed administrative tasks under tight deadlines.
