Duties
Incumbent is responsible for scheduling appointments, including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines.
Assignments at this level include, but are not limited to: scheduling, canceling, re‑scheduling patients’ appointments and/or consults including imaging studies; entering no‑show information daily; monitoring the electronic wait list (EWL); preparing for clinic visits by printing out the daily patient appointment list; monitoring both inpatient and outpatient appointments for area(s) of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information through the insurance card buffer (ICB); performing basic eligibility checks and printing the (EARR) encounter action required report for the area assigned daily.
The incumbent must have a full working knowledge of VA dental eligibility and patient classification requirements. When necessary, the incumbent will contact the Health Eligibility Unit for assistance or verification of the veteran’s eligibility for dental services.
The Advanced MSA works collaboratively in an interdisciplinary coordinated care delivery model. The Advanced MSA coordinates with the assigned care team to review clinic utilization using various reports (clinic utilization statistical summary, encounter action required report (EARR), clinic cancellations, specialty consults report, EWL, recall delinquency report, secure messages, text, var, as well as SAIL/HEDIS metrics that directly impact clinic metrics for patient care).
The Advanced MSA ensures that the clinic set‑up is closely monitored to effectively support the needs of the team and the clinic and make the necessary adjustments. They develop and maintain effective and efficient communication with the patient, interdisciplinary team, VA medical centers, and other agencies; facilitate/process secure messaging with the patient and team; develop and manage a tracking system for follow‑up care such as consults, RTCs, recalls, EWL, and secure messaging.
Other assignments at this level include, but are not limited to: participating in team huddles and meetings to manage and plan patient care; setting priorities and deadlines; adjusting the flow and sequencing of work to meet team and patient needs; working with the team to reinforce the plan of care and self‑help solutions and entering appropriate information into the electronic health record; monitoring pre‑appointment requirements to assure patient readiness for visit or procedure (X‑ray, lab work); managing the electronic wait list to verify and validate accuracy and resolve issues; providing input in problem solving on operational issues or procedures in team meetings; performing administrative follow‑up actions; independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care; evaluating patient information and clinic schedule lists to determine whether a patient is vested; educating providers about shared patients (those who receive their care at multiple VAs or who have care in the community through the VA MISSION Act) and bringing it to the attention of the provider.
