Overview
Patient administration underpins the patient journey and supports clinical teams in delivering high quality patient care. The post holder is responsible for providing a professional, comprehensive and efficient administrative service to a specialty team, managing the whole patient pathway in line with the Trust Elective Access policy.
Responsibilities
* Provide primary administrative support to named Consultants, clinical staff, nursing staff and patients, including diary administration, correspondence support and other administrative duties as required.
* Use the digital transcription system (Voice Recognition) to produce clinical correspondence, ensuring high quality and compliance with the national target of 7 working days from clinical delivery or decision.
* Open and prioritise incoming post, ensuring supporting information is available and actioning urgent items in the absence of Consultant or other clinical staff.
* Support patients by administering and expediting relevant diagnostic investigations in line with the 6‑week diagnostic pathway and the 18‑week Referral to Treatment (RTT) pathway.
* Monitor urgent investigation requests to guarantee appropriate processing.
* Work with the Clinical Unit Manager and Departmental Administrator to monitor and maintain compliance with the 18‑week RTT pathway, intervening to expedite appointments and avoid breaches.
* Maintain an accurate filing system, filing letters, clinical reports, diagnostic test results and other notes correctly in paper or electronic record systems.
* Follow the tracking procedure for the movement of all patient notes (Case Note Tracking).
* Update patient details on EPR, ensuring discharge processing and the Patients Missing Follow‑Up list are current.
* Request and coordinate patient notes from other hospitals and organisations when necessary.
* Act on queries from referrers, patients and other relevant parties in liaison with clinical staff, providing reassurance and support by finding appropriate solutions to problems.
