We are seeking a proactive Personal Assistant to provide administrative support to the Head of our Personal Entertainment Pan‑European Product Marketing (PE PPM) function, as well as coordination support for the senior managers and their teams within this department.
This role is suited to a highly competent professional who is agile in adapting and prioritising, highly organised, comfortable with modern technology and tools, and able to think ahead and plan to ensure effective support to the department. If you are looking to take on more varied and interesting tasks and broaden your experience, this role could be ideal, as we are open to individuals upskilling in new areas.
You will be based at our Weybridge office, working three days onsite and two days from home each week. The position does not require travel. You will work closely with, and be supported by, our other experienced Personal Assistants across the business, providing cover for one another and collaborating to coordinate larger team meetings, activities, and events.
You will:
Diary Management
1. Proactively support PE PPM Head and support managers’ scheduling to ensure effective use of time
2. Anticipate priorities, meetings, and follow‑up actions, working closely with internal/external stakeholders
3. Act as a key point of contact, managing incoming and outgoing communications on behalf of the PE PPM Head and team
Travel and Event Coordination
4. Arrange complex EU and international travel for the PE PPM Head, managers, and team, including flights, accommodation, and ground transport
5. Coordinate team events and activities such as offsites, conferences, team dinners, farewell events, and seasonal celebrations
6. Provide holiday cover for other Personal Assistants across departments as required
Office Management
7. Oversee day‑to‑day office management, including supplies, floor plans, desk booking systems, and general workplace coordination
8. Act as liaison with HR, Facilities, IT, and Security on matters impacting the team
9. Manage onboarding and offboarding processes, including hardware procurement, system access, and security setup
10. Serve as Fire Marshal and support health and safety requirements
11. Monitor team mobile phone usage and billing
Administrative Support
12. Process expense claims for the PE PPM Head and support managers as needed
13. Raise purchase orders, manage goods receipt, and support vendor setup
14. Produce & maintain key business reports and departmental documentation, including organisation charts
15. Provide first‑line IT and helpdesk support for the PE PPM Head and team
